SUMMARY OF THE ROLE 


The Supervisor, Document Control, will support long-term Document Control activities for the Rio Grande LNG facility located near Brownsville, Texas.  The role is responsible for overseeing the document control function and personnel ensuring the integrity, accuracy, and compliance of all controlled documents and records throughout their lifecycle.  The position supports the effective utilization of digital systems (e.g., Octave InConcert (Hexagon SDx), OpenText, ECM platforms) to support operations project engineering, management of change requirements, and regulatory compliance.  The position plays a critical role in maintaining audit readiness, supporting operations project execution, and enabling efficient information flow across the organization.  The role will report to the Manager, Quality Assurance & ISO Compliance #289 in the Operations Engineering Department. 

KEY RESPONSIBILITIES
  • Lead and supervise document control staff, ensuring quality, consistency, and productivity.
  • Oversee document lifecycle processes: creation, review, distribution, revision, and archiving including external information exchange.
  • Own day-to-day document control execution, including intake/receipt, registration, indexing, metadata quality, distribution, revision control, transmittals, and records retention in alignment with requirements.
  • Act as the central point of contact for document control matters
  • Serve as the functional EDMS SME by configuring and enforcing workflows, lifecycle states, metadata standards, permissions, and reporting/dashboards.
  • Assist in the development and implementation of document control processes and procedures.
  • Identify and implement process and system improvements that streamline workflows and enhance document accessibility and reliability for stakeholders.
  • Interface with the Management of Change (MOC) Coordinator and other personnel involved in the MOC process to ensure all changes are managed correctly throughout and all impacted documents remain current and readily available.
  • Interface with intercompany department personnel to provide timely information and document support.
  • Ensure that an effective and timely electronic and physical (as necessary) document routing and distribution system/matrix is developed and maintained.
  • Establish cross-functional relationships to align information flow and ensure the right documents are available at the right time for execution and readiness.
  • Track and publish Key Process Indicators (KPIs) (e.g., performance cycle time, backlog aging, rework/rejection rate, metadata quality, workflow compliance, contractor/vendor MDR status).
  • Ensure audit-ready document control practices and support internal/external audits by maintaining traceability, completeness, and compliance with applicable standards and contractual requirements.
  • Provide training and coaching on document control procedures, systems, and best practices as needed.
Minimum Qualifications:
  • 10+ years of experience with document control.
  • 5+ years of oil and gas industry experience.
  • Owner-Operator experience supporting operations documentation lifecycle records within compliance requirements.
  • Experience establishing, maintaining & managing various Electronic Data Management Systems (EDMS), such as Octave (Hexagon SDx), OpenText, etc.
  • Excellent organization, planning, and time management skills to ensure timely execution of work tasks.
  • Effective Communications – Accurate, clear, concise, timely and effective communication is vital to this role.
  • Ability to work collaboratively and foster a collaborative work environment.
  • Ability to manage priorities in a fast-paced environment.
  • Uncompromising attention to detail and organizational skills.
  • Strong communication skills with ability to influence cross-functional teams.
Preferred Qualifications:
  • Bachelor's degree in Management Information Systems (MIS), or related field.
  • Prior experience supporting or executing transition between Electronic Document Management Systems (EDMS), system migration, or major EDMS workflow change.
  • Experience building or significantly improving a document control function (procedures, KPI dashboards, training programs, governance model).
