What is Maximo CMMS?

Maximo CMMS (Computerized Maintenance Management System) is an enterprise asset management software developed by IBM. It is designed to help organizations manage their assets, maintenance schedules, work orders, inventory, and other related processes. Maximo enables companies to optimize the performance and lifespan of their physical assets, ensuring efficient operations and compliance with industry standards. The system is widely used in industries such as manufacturing, utilities, transportation, and facilities management.

What are some common challenges faced by Maximo CMMS administrators, and how can they be addressed?

Maximo CMMS administrators often encounter challenges such as managing data integrity, customizing workflows to meet organizational needs, and ensuring user adoption. Keeping the system up-to-date and integrating it with other enterprise applications can also be complex. Addressing these challenges typically involves ongoing training, clear documentation, collaboration with IT and end users, and leveraging Maximo’s support resources. Proactive communication and regular system audits help maintain smooth operations and maximize the value of the CMMS.

What are the key skills and qualifications needed to thrive as a Maximo CMMS specialist, and why are they important?

To thrive as a Maximo CMMS Specialist, you need expertise in asset management principles, maintenance planning, and a solid understanding of IBM Maximo software, often supported by relevant certifications or technical training. Strong analytical thinking, communication skills, and the ability to collaborate across departments help maximize system effectiveness and user adoption. These skills ensure efficient maintenance operations, accurate data management, and optimal asset lifecycle management within organizations.

Job description

This is a remote position.

The Implementation Consultant plays a key role in the delivery of NEXGEN EAM implementations by owning the functional workstream in partnership with the assigned Project Manager. You will lead discovery workshops, own software configuration, guide data preparation activities, and facilitate user acceptance testing. On larger or more complex engagements, you'll partner with a Senior Implementation Consultant; on standard accounts, you own the functional workstream independently.

This role is designed for a functional delivery professional with 3-5 years of hands-on experience implementing enterprise EAM, CMMS, or comparable operational software, who is ready to grow into a senior functional delivery role. You are naturally curious, detail-oriented, and comfortable working in a structured, client-facing environment. What matters most is direct, hands-on experience configuring and delivering enterprise software implementations, not just business analysis in the abstract, paired with the communication skills to engage confidently with clients from day one.

Key Responsibilities:

• Lead structured discovery workshops with client operational user groups; document, validate, and maintain traceability of functional requirements across assigned platform modules.

• Author User Requirements (UR) memoranda and functional documentation capturing validated requirements and configuration decisions.

• Configure assigned NEXGEN platform modules, including asset hierarchies, work order management, PM schedules, inspection forms, and related functional areas, applying established configuration standards and best practices.

• Support business process workflow analysis by documenting current-state and future-state processes; assist with developing Visio workflow diagrams for client review.

• Guide clients through data migration template completion; review submitted data for errors and inconsistencies; coordinate feedback directly with client data owners.

• Facilitate UAT sessions with client user groups; own the issue log through triage, resolution, retesting, and formal closure.

• Support training readiness activities in coordination with the Education team.

• Provide on-site and remote go-live support; triage and resolve post-go-live functional issues.

• Maintain accurate, professional documentation throughout each engagement, including workshop notes, configuration records, and issue logs.

• Build foundational client relationships with operational user groups and day-to-day contacts; communicate clearly and professionally in all client interactions.

Requirements
  • 3-5 years of hands-on experience implementing enterprise EAM, CMMS, or comparable operational software (e.g., NEXGEN, IBM Maximo, Infor EAM, Cityworks, or similar) in a functional consultant, implementation consultant, or closely related client-facing role.
  • Bachelor’s degree in Business, Information Systems, Engineering, Environmental Science, Public Administration, or a related field; equivalent practical experience considered.
  • Demonstrated ability to document business requirements, participate in structured workshops, and produce clear professional documentation.
  • Strong written and verbal communication skills; comfortable engaging with clients independently in meetings and working sessions.
  • Detail-oriented with strong organizational skills; able to manage multiple tasks and maintain documentation accuracy across concurrent projects.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Visio or equivalent diagramming tools is a plus.
  • Direct, hands-on configuration experience on at least one full implementation lifecycle (discovery through go-live) for an enterprise software platform; utilities, public works, or municipal government client experience is a meaningful advantage.
  • Willingness and ability to travel to client sites across the US up to approximately 20% of the time.

Bonus Skills (Not Required):

• Experience working with utilities, public works, or municipal government clients.

• Basic knowledge of data migration concepts, including field mapping and data quality review.

• Exposure to UAT processes, test script writing, or defect tracking.

Desired Traits:

Curious, Detail-Oriented, Eager to Learn, Strong Communicator, Organized, Client-Focused, Collaborative, Coachable, Proactive.

Benefits

Why join the Project Delivery Team:

  • Apply deep EAM/CMMS domain expertise to implementations that directly improve how utilities, public works agencies, and municipal organizations manage critical infrastructure.
  • Work within a structured, role-separated delivery model — the Project Manager owns schedule, scope, and governance, freeing you to focus entirely on functional quality and client outcomes.
  • Collaborate with an experienced delivery team that values domain expertise, professional rigor, and continuous improvement of delivery practices.
  • Flexible remote-first work environment with a supportive leadership culture and clear pathways for career development.
  • Be part of a high-growth EAM software company with over 20 years of industry expertise and a growing portfolio of utility and public sector clients.

Why Work at NEXGEN:

  • Engage with an innovative and intelligent team
  • Fun & progressive culture in a dog-friendly office

  • Paid Sick Leave: 40 hours per year.
  • Retirement Planning: 401(k) plan eligible after 3 months of service with up to a 4% company match.
  • Healthcare: Competitive health, dental, and vision insurance options.
