Job description

The production coordinator is responsible for coordinating and managing toll processing activities from order receipt through final production. Key responsibilities include reviewing sales orders and customer requirements, selecting and coordinating with processors based on cost, capabilities, and lead times, creating work orders and purchase orders, optimizing material yields, and maintaining production schedules. The role also monitors processing progress, verifies completed production documentation, updates inventory and quality records, manages non-conforming material, and communicates production status, finished goods, and material needs to internal teams and management.



Job Duties:

1.  Report directly to Production Manager and General Manager.

2.  Develop and maintain processor rate matrices and current industry lead times.

3.  Receive Sales Order, and necessary supporting documentation from Customer Service Representative, that requires processing.

o Review all documentation provided.

-Verify sales order for accuracy as compared to Customer P.O.

-Verify provided allocations meet customer requirements.

-Communicate any discrepancies with appropriate personnel.

o Determine processor location.

-Monitor, identify and utilize processors that provide best service, optimal equipment, and low-cost efficiency.

-References and updates Processor Rate Matrix.

-Coordinate material transfer with Logistic Coordinator (as needed).

4.  Generate Work Orders and Toll Processing Purchase Orders.

o Create setups using Microsoft Excel maximizing yields while also minimizing scrap loss.

o Allocate material to order, as instructed by appropriate personnel, identifying appropriate processing requirements, packaging, and quality requirements.

o Submit new processing purchase orders to Production Manager for review.

o Communicate approved orders to processors of choice, securing confirmation, lead times, and rates.

o Enter created orders on appropriate production schedule.

5.  Monitor Status of Work Orders and Toll Processing Purchase Orders.

o Communicate progress to appropriate personnel.

o Update production schedule with status updates.

6.  Finalizing Production

o Receive production documentation from processor.

o Review documentation for accuracy, verifying processing order requirements have been met.

o Data Entry

-Upload all supporting documentation to the system.

-Consume material allocated to the order to create new tags in inventory system.

  -Apply new costs as directed by appropriate personnel.

o   Transfer Processor inspection information into the inventory system.

o   Hold non-conforming material for disposition.

o   Inform appropriate personnel of any discrepancies.

7.   Communication of Finalized Reports

o Email Finished Goods reports to appropriate personnel.

o Email non-conforming material, along with supporting documentation.

o Email requests for replacement material (if needed).

8.   Other duties as assigned.
