Administrative Assistant/Receptionist
Reports to: Office Manager
Part -Time
Wednesday and Friday, 9:00 am - 4:30 pm
Hours: 15 Hours per week (2 days per week)
FLSA: Hourly, Non-Exempt
POSITION OVERVIEW
The Administrative Assistant/Receptionist is the first point of contact at the front desk for the Parish office, greeting parishioners, ministry volunteers and visitors in a courteous manner, contributing to an atmosphere of teamwork and cooperation among all the Parish staff and volunteers.
PRIMARY DUTIES AND RESPONSIBILITIES
  • Serve parishioners, volunteers and visitors by greeting, welcoming and directing them appropriately.
  • Answer, screen, and direct incoming phone calls while providing basic information to all callers in a compassionate, friendly way.
  • Answer general questions in e-mail, and/or forward to appropriate staff member.
  • Assist with new parishioner registrations, mass cards, and other administrative duties as required.
  • Clerical duties such as filing, photocopying, creating ministry reports, etc.
  • Other duties as assigned.
KNOWLEDGE, SKILLS, ABILITIES:
  • Basic understanding of Catholic Teachings and Scripture.
  • Proven working experience in similar role for at least 1 year.
  • Must possess strong computer skills and knowledge of Microsoft Word, Excel, Power Point, Publisher, and various social media platforms.
  • Professional communication skills both written and verbal.
  • Ability to organize, multitask, and prioritize.
  • Demonstrates attention to detail and thoroughness, excellent customer service and interpersonal skills, resourceful and proactive in dealing with issues that may arise.
  • Ability to be flexible and cooperative.
  • Demonstrates discretion and confidentiality, integrity and honesty.

LANGUAGE SKILLS
Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
