Job Summary
The Library Specialist provides operational support for Access Services and the daily operations of the library. This position helps ensure library users have access to services, resources, and spaces while supporting student assistants, facility needs, and quality customer service in accordance with library policies and procedures.
Essential Duties
  1. Oversees the activities of the access services unit during hours assigned and agreed upon; may include opening or closing the library building. Helps manage access to study rooms and meeting areas, responds to building emergencies, and enforces library policies. Responsible for all aspects of library operations in the absence of other library leadership after normal business hours.
  2. Contributes to a quality user experience through excellent customer service to all library patrons and visitors. Fosters an inviting atmosphere for quiet and collaborative learning, assists patrons with locating library materials, circulates library materials using the Integrated Library System (ILS), retrieves items from closed and open collections, performs system over-rides as authorized, creates patron records and borrowing cards for eligible affiliate patrons, processes course reserves, and answers questions related to library accounts while maintaining user privacy according to FERPA law and ALA guidelines.
  3. Performs Interlibrary Loan (ILL) services for ASU students, faculty, and staff with efficiency and accuracy. Contributes to the gathering and maintaining records of ILL transactions, and completes transactions associated with fees or fines when necessary.
  4. In coordination with the Research and Collections unit, provides basic directional, reference, research, and technology assistance to patrons, referring more complex queries or those outside of library service scope to other staff. Answers the telephone, providing basic information, routing calls, and taking messages as appropriate. Communicates in a professional, service-oriented manner.
  5. Works collaboratively with other library units and staff to maintain the print collection, which involves inventory, shelving, shelf reading, monitoring material condition, and recognizing record discrepancies. Runs automated reports; assists in collection of data, including circulation of materials, entry and exit readings, types of assistance provided, and other information. Prepares monthly and some annual statistical reports for the Head of Access Services.

Knowledge, Skills and Abilities
  • Knowledge of Access Services operations and library policies and procedures.
  • Skilled in oral, written, and interpersonal communication.
  • Skill in using Integrated Library Systems (ILS) and other library technologies.
  • Skill in utilizing basic reference resources.
  • Skill in operating standard office equipment and learning new software and technology.
  • Ability to organize, prioritize, and complete work accurately and timely while maintaining a high level of attention to detail.
  • Ability to work independently and collaboratively, exercise sound judgment, and apply library policies and procedures to resolve routine issues.
  • Ability to support multiple functions, including circulation services, interlibrary loan, and special projects.

Minimum Qualifications
  • High school diploma or GED certificate.

Preferred Qualifications
  • Completed college coursework or bachelor's degree.
  • Two+ years of library, museum, or archival related experience, or completion of six semester hours in library science.

Physical Requirements
Ability to communicate effectively with patrons in person, by telephone, and electronically. Ability to stand, walk, reach, bend, and stoop; lift and carry materials weighing up to 20 pounds; and push or maneuver fully loaded book carts weighing up to 300 pounds. Ability to accurately read call numbers, barcodes, labels, and computer screens.
