The Big Picture

The Opportunity
We are looking for an organized and dependable Executive Administrative Assistant to support the Chief of Staff, executive leadership, and the day-to-day needs of the Executive Office.
This role helps keep the office running smoothly by managing schedules and meetings, supporting Board activities, organizing documents and records, and providing administrative support to the General Counsel. The right person can manage several priorities at once, pays close attention to detail, and handles confidential information with care.
This is an onsite position based in Onamia, Minnesota, and requires working in the office five days per week.
As our Executive Administrative Assistant, you will:
Executive Support
  • Manage calendars, schedule meetings, coordinate travel, and assist with correspondence.
  • Coordinate Band Member requests as directed, including hotel reservations and other support.
  • Coordinate meeting details and make sure materials are ready and available.
  • Process expenses and maintain files and records.
  • Handle confidential information with care and discretion.

Board Support
  • Coordinate Board of Directors and committee meetings.
  • Organize and distribute agendas and meeting materials.
  • Take, finalize, and distribute meeting minutes.
  • Maintain Board records and documents.
  • Track assigned action items and provide reminders and updates.

Legal Support
  • Provide administrative support to the General Counsel as assigned.
  • Assist with contracts and legal documents.
  • Coordinate Tribal, Federal, and State filings as directed.
  • Organize legal records, contract files, and due diligence materials.
  • Assist with legal correspondence and other administrative needs.

Documents & Office Support
  • Format, proofread, organize, and distribute reports, presentations, correspondence, and other documents.
  • Keep Executive Office files, templates, and records organized and up to date.
  • Track assigned deadlines and follow-up items.
  • Coordinate meetings and other administrative needs with internal and external partners.
  • Provide administrative support for projects as assigned.
  • Look for ways to improve office organization and administrative processes.
  • Perform other duties as assigned.

Qualifications
  • Associate's degree in Business Administration, Office Administration, Legal Studies, or a related field preferred; and/or three (3) or more years of experience supporting executives, legal professionals, or senior leaders.
  • Experience managing multiple assignments and deadlines.
  • Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to work onsite in Onamia, Minnesota, five days per week.
  • Ability to obtain and maintain a Gaming Regulatory Authority (GRA) license.
  • Mille Lacs Band Member and American Indian preference will be exercised in the hiring process.
