Job description

The purpose of this position is to accurately maintain associate master data and direct deposit information as well as the Rehire Appeals process. The incumbent will be knowledgeable on the pre-hire, hire and transfer processes so they are able to process and assist on any questions that arise from the business areas. The incumbent will complete specific verifications of employment requested by associates and outside businesses, understanding what can be handled internally and what should be directed to Thomas and Company. Finally, the incumbent will maintain the rehire eligibility process to determine whether an associate is currently eligible to reapply with the company or whether there is an ineligibility record that is stopping this former associate from being eligible.

Responsibilities include:
  • weekly processing of master data actions (Hire/ Rehires, Transfers, Pay Rates, Direct Deposit, Name, Race and Gender, Birthdate, and Address) in SAP
  • handling the Rehire Eligibility Process to determine whether an associate is currently eligible to reapply with the company immediately or whether there is an ineligibility record that is stopping this former associate from being eligible
  • process incoming rehire eligibility forms for Employment Law & Investigations and other related business areas
  • analyzing and completing verbal and written verification of employment requests
  • completing Verification of Employment requests that are processed internal and/or provide guidance to verifiers and/or associates on how to utilize Thomas & Company
  • working with various systems, including SAP, EES, Applicant Management System (AMS), Host, and ViewStar
  • coordinating with other business areas (i.e. Payroll, Benefits, retirement) to ensure cross functional processes are handled appropriately
  • answering calls regarding master data, AMS rehire eligibility, verification of employment and general department related polices
  • processing direct deposit cancellations, changes from error reports and assisting associates with direct deposit enrollment questions and issues
  • fielding questions and requests from business locations and/or associates related to Hire, Transfer, Master Data, Direct Deposit and various general questions
  • sending Direct Deposit notifications for associates who are not enrolled in direct deposit
  • various other duties as assigned by the Team Leader and/or Supervisor
