Position summary
The Private Client Associate Account Executive provides day-to-day account servicing support to Account Executives and service teams. This role is responsible for processing policy changes, preparing client correspondence, maintaining accurate policy records, monitoring reports, and supporting timely service delivery across assigned accounts. The Associate Account Executive helps ensure operational accuracy, responsiveness, and a high level of client service in a fast-paced insurance environment.
Essential duties and responsibilities
The following duties are representative of the essential functions of the role and are not intended to be an exhaustive list.
  • Prepare Loss Payee Requests (LPRs) and email them to clients with a copy to the assigned Account Executive.
  • Process cancellations after LPRs are returned, as applicable.
  • Process requests for Evidence of Insurance for lienholders and mortgagees.
  • Process premium and non-premium endorsements for all Account Executives.
  • Send ID cards to insureds and distribute declarations pages to insureds.
  • Pull download reports, match unmatched transactions, and support the reconciliation of downloaded activity.
  • Update cancel reasons in Sagitta and review endorsement accuracy from carrier matches; coordinate corrections as needed.
  • Add Policy Checking Lists when required for Umbrella policies and for NEW, F&R, and E&S business.
  • Review daily billing alerts and monitor non-pay cancellations across all carriers.
  • Pull non-download policy paperwork and attach documents in the agency management system for lines such as Workers' Compensation, Flood, E&S, Farm & Ranch, and similar business.
  • Verify Flood policy renewal payments and attach non-download policies as needed.
  • Verify Progressive policy renewal payments.
  • Receive round-robin calls from service center clients that need to be remarketed.
  • Receive round-robin calls from service center clients that need to be transferred back to the carrier service center.
  • Handle round-robin calls from insureds with standalone or one-shot policies.
  • Troubleshoot client billing inquiries.
  • Monitoring automated pull requests from external databases like Comprehensive Loss Underwriting Exchange (CLUE), MVRs, and LexisNexis.
  • Ability to operate fluently within specialized industry software like AMS or Applied Epic.
  • Managing automated optical character recognition (OCR) systems to ensure trailing documents (e.g., signed exclusions, inspections, appraisals, proof of insurance, policies, endorsements etc.) attach to the correct electronic policy files.

Required qualifications
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Prior experience in insurance account servicing, agency operations, or customer support preferred.
  • Working knowledge of agency management systems, preferably Sagitta.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and commitment to accuracy in data entry and document handling.
  • Effective written and verbal communication skills.
  • Ability to work independently while also supporting a collaborative team environment.
  • Strong customer service orientation and professional judgment.
