Our mission is to connect brands more meaningfully with consumers through impactful advertising solutions. Leveraging Walmart’s unparalleled data and scale, we provide measurable results for our partners.      Lightbox Creative Solutions (LBCS) is transforming the retail media landscape by delivering innovative and creative marketing campaigns for top global brands. We produce creative executions that are insights-driven, on-brand, and ultimately lead to a memorable experience for the end-user while driving impact for advertisers.   Overview: The Project Coordinator role focuses on foundational production support skills and serves as the operational backbone for project execution. They support the execution and tracking of cross-team campaigns and initiatives. This role focuses on essential project management duties required to implement campaigns across the Walmart ecosystem. The coordinator works closely with the Lead Producer, Creative Strategist, and Art Director to ensure timelines are met and assets move efficiently through the production pipeline. They maintain schedules, support approval processes, and ensure accurate documentation and tracking across multiple concurrent workstreams. Key Responsibilities: Project Tracking
  • Monitor the lifecycle of creative projects, ensuring all tasks remain current and deadlines are visible to relevant teams.
  • Proactively follow up with task owners to ensure on-time delivery.
Resource Coordination
  • Support the Lead Producer by triaging incoming requests.
  • Coordinate team collaboration across Creative Strategists, Designers, Copywriters, and Producers.
  • Maintain a birds-eye view across singular projects and the SBU pod.
Meeting & Asset Management
  • Plan and organize project kick-off meetings.
  • Build and maintain detailed project timelines.
  • Capture meeting notes, document decisions, and track action items.
  • Ensure all creative assets are properly filed, labeled accurately, version-controlled, and stored according to team standards.
Cross-Functional Support
  • Collaborates closely with the creative team and provides clear updates to partners.
  • Assist in routing assets to Sales Partners and/or clients for feedback and approvals.
Workflow Optimization
  • Provide support for general day-to-day department functions, such as owning tracking documents, and inputting relevant project data in the Airtable workflow management system.
  • Support capacity planning and reporting accuracy through ongoing data hygiene.
Quality Control
  • Conduct initial reviews of creative deliverables to confirm alignment with brief requirements before stakeholder review.
Operational Agility
  • Respond quickly to shifting priorities by updating schedules and clearly communicating changes to all partners.
Team Collaboration
  • Demonstrate a consistent spirit of partnership, collaboration, and operational excellence.
Position Requirements:
  • Bachelor’s degree in Marketing, Advertising, Fine Arts, Design, or related field.
  • Experience with agency and/or in-house marketing experience (project management, account management, editorial content management, integrated marketing).
  • Pro-active with strong attention to detail and exceptional organizational abilities.
  • Positive, solution-oriented mindset.
  • Excellent relationship-building skills and ability to work across disciplines.
  • Experience in Airtable or similar project/work management tools is a plus.
