The Gig:
The Marketing Planning Lead will be an important member of the Integrated Marketing team, supporting the management and coordination of all cross-functional integrated marketing initiatives. This person thrives in a fast-paced environment and can be flexible with frequent changes.
Responsibilities of this role will focus on assisting the Integrated Marketing team through a variety of tasks related to organization, communication, and ensuring efficient operational excellence. While this role will have a variety of responsibilities, main focuses will consist of assisting with change requests from across the enterprise, Airtable system management, and campaign implementation. This role will also lead quarterly planning for the Marketing Department as well as daily organization as needed. The Marketing Planning Lead will help guide and monitor multiple, concurrent marketing projects across all
channels from initiation through implementation. Ultimately, this role is the operational backbone of the team, ensuring smooth execution of all marketing initiatives. The role leads change management efforts, facilitating the adoption of new processes and tools, while also driving the marketing planning process, establishing timelines and coordinating resources. The Marketing Planning Lead also oversees marketing operations, optimizing workflows and ensuring efficient team collaboration. At Virgin Voyages, personality matters. This gig is based at VVHQ - our swanky Virgin Voyages Head Office in Plantation, FL where we follow a hybrid work environment. We can't wait to 'sea' you in person during our Collaboration Days, Tuesdays, Wednesdays, and Thursdays, while you enjoy Mondays and Fridays' as remote days.
What You'll Be Up To:
• Project Timeline Management: Creating, updating, and tracking detailed timelines for all marketing campaigns and initiatives. Works closely with the business leads and the content studio department to launch campaigns timely and effectively
• Cross-Functional Coordination: Facilitating communication and ensuring smooth workflow between different marketing teams (e.g., content, digital, social).
• Process Documentation & Improvement: Identifying areas for operational improvement and documenting standardized marketing processes.
• Change Management Support: Communicating changes in programs, policies, processes or tools, and ensuring team adoption and implementation.
• Resource Allocation Tracking: Plays a key role in tracking the allocation of creative resources across different projects.
• Meeting Facilitation & Follow-Up: Organizing and facilitating planning meetings, distributing agendas, and tracking action items.
• Collaborate with marketing channel owners on strategy and planning to determine the marketing strategy for integrated campaigns dependent on timelines and data from past campaigns
• Synchronize with channel owners to record planned and unplanned channel initiatives; monitor the initiatives during the quarter to ensure they are kicked off and on track with internal content studio
• Automate processes between the Commercial Innovation and Change team and the marketing teams to intake and track campaign requests
• Produce and distribute correspondence, briefs, and decks to inform and kick off marketing channels and the studio team on integrated campaigns
• Assist in the preparation of regularly scheduled reports involving weekly program status updates and campaign timelines to launch projects successfully
• Develop and maintain digital and offline filing systems involving marketing calendars, tracking documents, and Google Drive for integrated marketing projects
• Provide general administrative support to the Integrated Marketing Team
• Ability to work well with team members, as well as outside clients and vendors
• Maintain company values, rules, policies, and procedures are met to fulfill the company missions, as well as productive relationships with customers and vendors
• Responsible for special tasks requested by supervisor

Superpowers Required:
• 3-5 years project management experience
• Strong organizational skills and detail-oriented
