Job description

Program Facility Coordinator - Marketing / Athletics / Community Events
Regular Part-Time Typically 21-29 hours per week Varied schedule may include evenings, weekends, and holidays $20.00 per hour

We're looking for someone who is admin-minded, creative, sales-minded, and relationship-driven - someone who enjoys working with kids, families, leagues, and community partners while helping create positive experiences in our parks.
What You'll Do
The Program Facility Coordinator supports Fort Wayne Parks and Recreation by helping schedule athletic facilities, coordinate community event requests, assist with sponsorship and marketing efforts, and provide excellent customer service to leagues, event organizers, community partners, and the public.
Key Responsibilities
  • Schedule athletic fields, courts, park facilities, and event spaces for leagues, schools, tournaments, practices, fundraisers, community events, and outside organizations.
  • Provide high-quality customer service by responding to rental inquiries, communicating with participants and organizers, resolving concerns, and supporting a positive experience for the public.
  • Assist with sponsorships, grants, marketing needs, community partnerships, promotional priorities, and post-event follow-up with sponsors and partners.
  • Conduct site visits, monitor facility needs, identify concerns, and communicate maintenance or set-up requests to the appropriate teams.
  • Support Parks and Recreation special events, community outreach, department projects, and day-to-day operational needs as assigned.

What You Bring: Education & Experience
  • Bachelor's degree in Recreation, Marketing, Communications, Sports Management, or a related field preferred.
  • At least one year of related experience and/or training preferred.
  • Equivalent combinations of education, training, and experience may be considered.
  • Experience with athletics, community events, customer service, facility scheduling, sponsorships, marketing, sales, or public-facing programs is helpful.
  • A people-first attitude and genuine enthusiasm for helping others.

Technical Skills & Knowledge
  • Knowledge of marketing practices, sponsorship support, and community partnership development.
  • Ability to coordinate multiple schedules, facilities, events, and requests at one time.
  • Strong organization skills with the ability to manage details, follow up, and keep projects moving.
  • Proficiency with Microsoft Office, including Word and Excel.
  • Experience with Rec-Trac or a similar facility-scheduling system preferred.
  • Strong written and verbal communication skills with staff, volunteers, participants, organizations, and the public.
  • Valid Indiana Driver's License required if operating a City vehicle.
