Esperanza is seeking a bilingual Development Associate to provide essential operational, administrative, and project coordination support for the Development Department.

Reporting to the Vice President of Development, the Associate assists with departmental priorities, fundraising initiatives, special events, sponsorship fulfillment, financial administration, internal workflows, and cross-departmental projects.

This highly collaborative role helps keep Development activities organized and moving forward by maintaining project materials, coordinating tasks and timelines, communicating updates, and supporting the timely completion of departmental responsibilities.

This is an exciting opportunity for a detail-oriented professional who is fluent in English and Spanish and passionate about donor-centered fundraising, relationship building, and operational excellence. Through this work, the position will help advance Esperanza’s mission of strengthening Hispanic communities through education, community and economic development, the arts, and social change in North Philadelphia and beyond.

Essential Functions:

  • Maintain accurate and confidential records related to donor giving, solicitation strategies, engagement history, and outreach.
  • Maintain accurate and up-to-date constituent records in the CRM.
  • Prepare constituent lists for targeted communications, appeals, events, and mailings.
  • Support the day-to-day coordination of Development Department initiatives by tracking responsibilities, deadlines, decisions, and next steps.
  • Recommend and support improvements to departmental workflows, communication, organization, efficiency, and accountability.
  • Collaborate with Program, Finance, Marketing, and other staff to support the timely completion of departmental responsibilities.
  • Coordinate assigned special projects and departmental initiatives from planning through completion.

· Provide scheduling, meeting coordination, and administrative support to the Executive Vice President of Organizational Advancement and Vice President of Development.

  • Assist with preparing agendas, briefing materials, presentations, reports, correspondence, and meeting packets.
  • Record meeting notes and maintain accurate records of decisions, assignments, deadlines, and follow-up items.
  • Coordinate travel arrangements, event registrations, itineraries, and related logistics, as needed.
  • Coordinate logistics and provide administrative support for fundraising events, donor receptions, cultivation activities, community events, and other Development initiatives.
  • Maintain event work plans, timelines, budgets, meeting schedules, task assignments, and planning documents.
  • Coordinate invitations, registrations, guest lists, seating assignments, nametags, event materials, signage, and check-in procedures.
  • Maintain accurate records of sponsor benefits, advertisements, logos, tickets, guest information, recognition requirements, payments, and related deadlines.
  • Assist with sponsor communications and follow-up to support the timely fulfillment of sponsorship benefits.
  • Assist with scheduling, meeting coordination, communications, and administrative support for Development-related board and committee activities.
  • Coordinate the processing and tracking of departmental invoices, purchase requests, reimbursements, and vendor documentation.
  • Track event budgets, sponsorship payments, departmental expenses, and other financial information.

Perform other duties within the scope of the position.

Requirements:
  • Bachelor’s degree preferred, or an equivalent combination of education and relevant professional experience.
  • Minimum of 2 years’ experience in development operations, nonprofit administration, project management, executive support, event management, fundraising, or a related field.
  • Bilingual fluency in English and Spanish, with strong verbal and written communication skills in both languages.
  • Strong organizational, project-management, and time-management skills, with exceptional attention to detail and follow-through.
  • Experience coordinating meetings, fundraising events, sponsorship logistics, vendors, contracts, invoices, budgets, and administrative workflows.
  • Strong interpersonal skills and the ability to work professionally with staff, executive leaders, board members, donors, sponsors, vendors, and community partners.
  • Sound judgment, discretion, and the ability to maintain confidential donor, financial, personnel, and organizational information.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Familiarity with CRM platforms, project-management tools, financial systems, or other nonprofit technology platforms commonly used.
  • Ability to work occasional evenings and weekends in support of fundraising events and organizational activities.

The anticipated starting salary range is $45,000 to $50,000 annually, based on experience and qualifications. Esperanza also offers opportunities for professional growth and advancement, along with a comprehensive employee health and wellness benefits package. Office hours are 8:30 a.m. to 5:00 p.m., with occasional evening or weekend work required.
