For more than 25 years, the Atlas Management team has provided management and human resources solutions to businesses, and employment opportunities to individuals. Atlas Management is hiring an Executive Assistant for an organization in the Nashville, TN area.  This part time opportunity is ideal for the individual who wants to make a difference in the community and corporate industries.

Executive Assistant 

Position Summary 

The Executive Assistant provides high-level administrative and operational support to the President & CEO and leadership team. This role manages executive communications, scheduling, office coordination, board support, and confidential administrative functions while ensuring efficient daily operations of the organization. 

Hours: 9a - 3/4p, Monday - Friday

Pay: $21.00 - $23.00 per hour

Status: Long term contract

Location: Nashville, TN - Metro Center area

Key Responsibilities 

Executive Support 

  • Manage executive calendars, appointments, and meeting coordination in MS Outlook

  • Prepare corporate correspondence, reports, presentations, and meeting materials  

  • Coordinate travel arrangements and itineraries  

  • Screen calls, emails, and inquiries on behalf of leadership  

  • Maintain confidential records and sensitive information  

Administrative Operations 

  • Support office operations and workflow management  

  • Coordinate internal meetings, agendas, and minutes  

  • Assist with board and committee administration  

  • Maintain organizational files and records  

  • Support invoice processing and expense tracking  

Communication & Coordination 

  • Serve as liaison between leadership, staff, board members, and external partners  

  • Coordinate executive follow-ups and action items  

  • Assist with organizational communications and announcements  

  • Ensure timely responses to inquiries and requests  

Event & Project Support 

  • Support logistics for meetings, conferences, and organizational events  

  • Assist with donor, sponsor, and stakeholder engagement activities  

  • Coordinate materials and schedules for special projects  

Qualifications 

  • Associate or Bachelor’s degree preferred  

  • 3–5 years of executive administrative experience  

  • Strong organizational and time management skills  

  • Excellent written and verbal communication skills  

  • Proficiency in Microsoft Office, Zoom/Teams, and office systems  

  • Ability to manage confidential information professionally
