JOB SUMMARY

The Admin Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Chief Impact Officer. The Admin Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Admin Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

PAY RATE: $55,000-$65,000 per year

Requirements

ESSENTIAL DUTIES

  • Complete a broad variety of administrative tasks for the Chief Impact Officer (CIO): managing a highly active calendar of appointments, completing expense reports, composing and preparing correspondence
  • Prepare and deliver detailed meeting briefs on participants and companies for scheduled meetings.
  • Accurately record and archive notes from meetings
  • Coordinate virtual and in-person events and complete follow-up action items under the guidance of the CIO
  • General support for social impact team
  • Assist with event planning
  • Make lunch and refreshment arrangements for special meetings and events.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Schedule meeting and support visitors which include investors, donors, community partners and elected officials.
  • Contributes to team effort by accomplishing related results as needed.

SKILLS & ABILITIES

  • Proven experience as an admin assistant or other relevant project management experience.
  • Tech savvy with working knowledge of zoom, google suite, and excel.
  • Comfortable wearing multiple hats with a “No task is too small,” attitude.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Ability to interact with a broad spectrum of constituencies, including donors, investors, community leaders, nonprofit/education representatives, board members, staff, youth, parents and volunteers.
  • Ability to build and steward relationships with people from diverse backgrounds.
  • Ability to work independently and effectively in a fast-paced, demanding environment.
  • Well-developed time management skills with the ability to manage multiple priorities.
  • Ability to present information in a concise and easily understood manner.
  • Ability to exercise discretion and independent judgment.
  • Organized, proactive/self-starter, creative, detail-oriented, and critical thinking skills required.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Experience with CRM and data management is a plus.
