We are looking for a talented Project Management Coordinatorwho will be responsible for supporting project planning, execution, and delivery by managing schedules, documentation, communication, and administrative processes across multiple departments. This role requires strong organization, accuracy, and the ability to coordinate with sales, engineering, project management, and customer support teams.
Main Responsibilities:
Project & Administrative Coordination
  • Support project planning, scheduling, documentation, and communication activities.
  • Monitor project progress, maintain accurate records, and deliver timely updates to stakeholders.
  • Lead internal execution of small projects, parts orders, repair orders, and intercompany support orders, ensuring accurate order creation, on-time execution, proactive customer communication, pricing updates, shipping coordination, and proper closure.

ERP & CRM Maintenance and Support
  • Review CRM deals to ensure process compliance and readiness for proposal development.
  • Own and execute the Order Entry Process within ERP and CRM systems.
  • Manage the New Customer Setup Process from initiation through completion.
  • Process Return Material Authorization (RMA) requests.
  • Support warranty processing activities.
  • Maintain accurate project manager assignments in the ERP system.
  • Assist with project, job, and order closure activities.

Reporting & Customer Follow-Up
  • Support KPI reporting for Business Unit leaders.
  • Coordinate the distribution and tracking of customer satisfaction surveys.

Invoicing & Financial Coordination
  • Manage the full invoicing cycle, ensuring accuracy, completeness, and adherence to company policies.
  • Serve as the primary point of contact for customer billing inquiries, providing clear and timely resolutions.
  • Process credit adjustment requests.
  • Support the project management team with invoice follow-up as needed.

Other
  • Ensure work is performed in a safe manner using all available safety equipment.
  • All other related duties as assigned.
  • Possess mental faculties consistent with performing the minimum requirements of the job.

Qualifications:
  • Bachelor's Degree in Business Administration, Project Management, Communications, or a related field preferred.
  • 1-3 years in project coordination, sales operations, or administrative support

  • Strong organizational, communication, and multitasking skills
  • Strong attention to detail
  • Strong Microsoft Office skills
  • Experience with ERP, CRM, and project management tools preferred
