Position Summary:
We have an exciting opportunity to join our team as a Practice Manager (FGP) - Manhattan, OBGYN.
Provides administrative oversight of NYU OBGYN, Maternal Fetal Medicine and Ultrasound medical office. Oversees practice clinical and administrative staff, including recruiting, training, and management. Manages office resources including space, equipment, and supplies. Manages systems in support of the practice including time-keeping, purchasing, and billing. Ensures patients receive quality care and service in an efficient manner. Manages the clinical schedules for Maternal Fetal Medicine and Ultrasound Divisions. In addition, in conjunction with the Faculty Group Practice (FGP), develops policies and procedures, implements new processes, and monitors compliance to established guidelines
Job Responsibilities:
  • This key role will collaborate with FGP OBGYN management team to implement, optimize and monitor operational performance of front end activities, including the customer service and appointment scheduling, front end practice and to create a new and consistent standards. This position will work closely with colleagues in the Faculty Group Practice to implement system wide initiatives.
  • Medical Office Management - Responsible for the daily management and operations of the clinical and administrative MFM and Ultrasound staff. Meets routinely with staff to review current tasks and assignments. Assists in establishing priorities, and allocating resources as needed to support operations. Evaluate employee performance. Resolves employee issues and addresses procedure and performance related issues. Authorizes attendance, schedules, and sick time changes.
  • Medical Office Management - Establishes office procedures and communicates responsibilities and expected performance to staff. Trains staff according to specific job responsibilities and expectations. Ensures appropriate cross-training and cross-coverage for all practice administrative activities. Plans, coordinates and schedules the interrelated activities of the practice office. Resolves all complaints and problems using independent judgment and decision making skills, to ensure patient satisfaction and adherence to faculty practice standards.
  • Medical Office Management - Assist in the implementation of new technology to physician practices. Work with the Business Manager-FGP, staff, and vendors to address physician concerns, operational, and IT issues. Help track these issues as new physicians are brought on to the application. Help to identify and quantify operational deficiencies that may be adversely impacting operations, process issues (scheduling, authorizations, registration, and billing Assist in finding solutions to identified issues.
  • Revenue Cycle Management - Responsible for oversight of the revenue cycle process for physician billing. Direct the review and documentation of the charge submission process for all practices. Determine best processes and implement uniformly across practices. Monitor weekly charge submission volume, weekly charges posted, daily cash, incomplete charges, denials, collection reports, refunds, etc. Conduct routine meetings with the staff to discuss the results of these indicators and redirect staff efforts as needed.
  • General Administrative Responsibilities - Assists in training office personnel for clinical and administrative activities. Participates in on-going training/development/monitoring of staff by the office. Attends meetings, prepares minutes and participates on committees as requested. Recognizes routine problems and recommends suggestions, ideas and solutions. May be asked to perform other varied functions.
  • General Administrative Responsibilities - Performs other general administrative duties as needed to support practice operations. Determines and establishes the explanation to complex calls, issues and questions not covered by specific instructions or common practice. Receives, compiles, classifies, reconciles and consolidates data from varied sources. Maintains accurate, well-organized, up to date files for retrieval of needed documentation. Compiles daily statistical data as requested and reports data monthly to appropriate parties. Organizes, prioritizes and expedites own work flow and uses independent judgement.

Minimum Qualifications:
To qualify you must have a Five to ten years minimum experience in healthcare operations with emphasis on physician practice operations.
Bachelors degree required.
Manager experience required
Excellent written and oral communication skills.
Ability to prioritize effectively and handle shifting priorities professionally.
Strong workflow analysis and business process integration skills.
Ability to think systemically and understand the implications of policies and practices.
Ability to anticipate problems and take decisive action.
Strong interpersonal skills.
Lead others for implementation of projects and organizational workflow redesign.
Preferred Qualifications:
Lean six sigma experience preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.
