Job description

Complete Pet Care Animal Hospital is a rapidly growing group of veterinary practices seeking a dynamic and experienced Certified Veterinary Practice Manager (CVPM) to join our leadership team as the Operations Manager.

Position Overview

As the Operations Manager, you will assist the Director of Operations and Hospital Administrator in supporting smooth operations across all departments, ensuring operational continuity by stepping into management, administrative, or inventory roles as needed, while focusing on team development, structured performance management, inventory oversight and financial tracking. You will play a key role in developing staff, promoting organizational development and culture, and supporting the Practice Managers in creating positive employee experiences.

The ideal candidate has a minimum of 5 years of prior veterinary practice management or a related leadership role, experience with a full range of HR duties, financial analysis and inventory control, strong leadership, communication and problem solving skills and the ability to adapt quickly in a fast-paced environment. A passion for people, pets, and customer service is essential.

Key Responsibilities

  • Assist in overseeing our internal staff development program for clinical and kennel staff by managing updates to the training platform to ensure accuracy, efficiency, and relevance; tracking and monitoring staff progress through the system, ensuring timely completion and notifying Practice Managers and Hospital Administrator of any staff who fail to complete their required steps within the expected timeframe.

  • Manage the staff evaluation process, including scheduling staff evaluations and check-ins, tracking timelines, and ensuring completion of all required documentation. Gather and compile feedback from doctors, managers, and leadership team for use in staff evaluations.

  • Manage staff performance tracking, including monthly updates to employee dashboards. Collaborate with Practice Managers, Director of Operations and/or Hospital Administrator to identify and address gaps in training or performance and create and implement development plans.

  • Oversee the inventory management process. Work with Director of Operations to evaluate product usage, expiration loss, vendor relationships, and ordering protocols to ensure appropriate ordering and on-hand supplies. Identify and implement opportunities for cost savings and efficiency improvements.

  • Ensure HR compliance with internal and external policies, including OSHA

  • Complete monthly A/R process, including follow up on outstanding bills and collections process

  • Collaborate with Hospital Administrator and Director of Operations on internal reporting, including data collection

  • Be an active member of the hospital leadership team, including implementing and maintaining operational policies and procedures. Able to step in to perform the full range of Practice Manager duties when needed, including staff scheduling, client service oversight, and workflow management. Promote a positive, collaborative work environment, supporting clear communication between the leadership team and staff, while ensuring that policies and protocols are understood and followed.

Qualifications

  • CVPM certification strongly preferred; equivalent experience considered

  • Minimum 5 years in veterinary practice management or related leadership role

  • Proficiency in HR duties, financial analysis, and inventory control

  • Strong leadership, communication, and problem-solving skills

  • Ability to adapt quickly in a fast-paced environment

Schedule and Compensation

This position is full-time, typically Monday through Friday, with flexibility for occasional evenings or weekends.

Salary: $70,000-$90,000 with competitive benefits package and professional development opportunities.
