Operations Coordinator 

  • Department: Agency Operations 
  • Location: Los Angeles, CA
  • Hiring Manager: MD 

Position Summary 

The Operations Coordinator provides essential operational support to the West region. Reporting directly to the Managing Director, this role manages scheduling, documentation, resourcing, and communication that keep production activities organized and teams functional. The coordinator supports smooth workflows, strong cross department communication, and effective systems management. 

Beyond logistics, the Coordinator's presence, energy, and initiative directly impact culture for the region. Through thoughtfully designed meetings and events, and day-to-day interactions, they create moments that bring teams together, foster connection, and build a thriving, collaborative culture where people want to work. 

Key Responsibilities 

Leadership Support 

  • Manage scheduling, travel booking, and expense tracking for regional leadership 
  • Execute ad hoc projects and reporting as needed 

Systems Management 

  • Oversee time tracking, expense submission, and freelance booking systems 
  • Manage internal workflows and process documentation 

Culture & Team Building 

  • Coordinate large regional meetings and events designed to strengthen connectivity and team cohesion 
  • Cultivate a positive, inclusive environment through intentional engagement and celebration of team milestones 
  • Be an energizing presence that supports team morale and cross-functional relationships 

Operations & Coordination 

  • Maintain key operations documents & tools: email lists, vendor lists, equipment inventory 
  • Manage software licenses, security permissions, and collaboration tools 

People & Facilities 

  • Support onboarding and offboarding of full-time and freelance staff 
  • Coordinate IT setup, seat allocation, and system access 
  • Support facilities, real estate, and supplies coordination 

Qualifications 

  • 1-2 years in production, project coordination, or creative operations 
  • Proven organizational and documentation skills 
  • Proficiency in Microsoft Office and digital tools (Excel, PPT, Teams) 
  • Experience with production workflows and tools (Workfront, Airtable, Jira, or similar) 
  • Strong attention to detail and follow-through 
  • Ability to manage multiple priorities in a fast-paced environment 
  • Excellent cross-functional communication skills 
  • Natural ability to connect with people and bring positive energy to a team
