Administrative Assistant II

Proviso Mathematics & Science Academy, located in Proviso Township High Schools, is seeking an Administrative Assistant II. This position reports to the Principal. The ideal candidate will possess post high school education, preferably bilingual in Spanish, and demonstrate proficiency in Microsoft Word and Excel. Typing skills of 60 words per minute are required, along with a sound foundation in grammar, punctuation, and spelling.

The candidate should have the ability to lead and direct, with an aptitude for detailed work and knowledge of filing and record keeping. They must be capable of working independently, following directions, and collaborating effectively with faculty, students, parents, administrators, community members, and visitors. Confidentiality and discretion are essential, as is the ability to manage data efficiently and accurately.

The role demands superb organizational skills, initiative, independent judgment, and discretion in conjunction with school and district policies, procedures, and practices.

Responsibilities include handling all incoming counter traffic, maintaining accurate office records, assisting with daily main office functions, answering inquiries, planning and setting up meetings, managing attendance sheets and reports, generating and preparing reports, handling confidential matters, maintaining student discipline and academic records, managing school events and facility use calendars, preparing school announcements, providing varied secretarial assistance, managing textbooks and bookroom services, screening phone calls and visitors, assisting with data input and admissions, and operating standard office software and equipment.
