Job description

We are seeking a full-time, highly organized, detail-oriented Bookkeeper & Office Manager to oversee financial operations and ensure the smooth day-to-day functioning of our residential remodeling business. This role is critical to maintaining accurate financial records, supporting project profitability, and keeping the office running efficiently.


The ideal candidate is proactive, trustworthy, and comfortable working in a fast-paced, project-driven environment.


Compensation & Benefits

  • Competitive salary based on experience
  • Salary Range: $55,000-$70,000
  • Bonus Eligible (up to 10% of base salary annually)
  • PTO – Two weeks each year

Compensation:

$55,000 - $70,000 yearly


Responsibilities:

Bookkeeping & Financial Management

  • Manage all day-to-day accounting functions, including accounts payable, accounts receivable, and bank reconciliations
  • Maintain accurate financial records using accounting software (e.g., QuickBooks or similar)
  • Process vendor invoices, subcontractor payments, and client billing
  • Track job costs and assist with project budgeting and profitability analysis
  • Prepare monthly financial reports, including P&L statements and cash flow summaries
  • Assist with payroll processing and coordination with external CPA/accountant
  • Ensure compliance with tax filings, lien waivers, and contractor-specific documentation


Office Management

  • Oversee daily office operations to ensure efficiency and organization
  • Serve as the main point of contact for vendors, clients, and subcontractors
  • Manage scheduling, phone/email communication, and document organization
  • Maintain contracts, permits, insurance certificates, and project documentation
  • Support project managers with administrative needs and reporting
  • Implement and improve office systems, processes, and workflows


Administrative & Operational Support

  • Assist with estimating support, proposal preparation, and invoicing
  • Maintain CRM and client communication records
  • Coordinate material orders and track deliveries as needed
  • Help manage company licenses, renewals, and compliance requirements

Qualifications:
  • 3+ years of bookkeeping or accounting experience (construction or remodeling industry preferred)
  • Strong proficiency in accounting software (QuickBooks preferred) and Microsoft Office/Google Workspace
  • Experience with job costing and project-based accounting is highly preferred
  • Excellent organizational skills and attention to detail
  • Strong communication and problem-solving abilities
  • Ability to manage multiple priorities and meet deadlines


Preferred Experience

  • Background in residential construction, remodeling, or trades
  • Familiarity with construction management or estimating philosophies
  • Understanding of subcontractor management, lien waivers, and construction billing practices
