Job description

Club Administrator to manage daily operations, member communications, and administrative tasks of LIYC. Key duties include managing member registration, assisting the board and volunteers as needed, overseeing club software and website, and handling communications. Serves as the central liaison between the multiple departments of the club and members. 

Key Job Responsibilities:

Registration: Manages registration for membership and events, including scheduling, collecting payments and maintaining records.

Operations & Communication: Serves as the primary contact for inquiries to the club, maintains the club website (database and content), and via Constant Contact develops and sends informational emails and newsletters.

Volunteer Support: Assists with recruiting and scheduling volunteers.

Event Coordination: Assists in organizing and running club events including coordinating with vendors, participating in event set-up and break-down, checking in guests, procuring required licenses and permits. 

Common Qualifications & Skills:

Software Skills: Demonstrates proficiency with MS Office Excel and Word (in particular formatting and layout), Google Sheets, Forms and Docs, Dropbox and Google folders, Club management software. Experience with  Constant Contact, Squarespace and Canva is a plus.

Accuracy and attention to detail is essential.

Communication: Effective and positive interpersonal skills to interact with members.

Organization: Excellent scheduling, organizational, and time management skills. 

Key Responsibilities by Focus Area

Administration            Data entry, creating schedules, managing emails/correspondence.

Finance                         Processing invoices and payments in a timely manner.

Member Services        Answering inquiries, welcoming guests at events, managing registrations.

Work Environment

A mix of remote office work and on-site support at events. 3 days per week onsite initially, then gradually move to 90% offsite.

Works under the guidance of Flag Officers. 

Ability to lift 40 lbs. without assistance. 

Requires flexible hours, including evenings or weekends.  Must be available to meet during business hours on two predetermined days of the week.

15-20 hours per week. Tracks hours on PayChex, and manages hours worked to avoid overtime or meal break penalties.  May complete a meal break waiver to allow up to 6 hours in a day without taking a meal break (form attached).  Overtime, if required, must be approved in advance with a Flag Officer.
