Training Specialist Supporting the Work Behind the Work

The Training Specialist is responsible for executing the day-to-day operations of Learning and Development, ensuring training is assigned, delivered, tracked, and supported effectively across the organization.
This role focuses on onboarding support, Learning Management System (LMS) administration, delivery of standardized Property Management System (PMS) training, and frontline care of L&D requests. The Training Specialist ensures employees receive timely, consistent training and support while maintaining accurate records and up-to-date training materials.
Essential Functions

Onboarding & LMS Administration
  • Load, assign, and manage onboarding plans and training assignments within the Learning Management System (LMS) for new hires and role changes.
  • Ensure training is assigned accurately and aligned with role requirements.
  • Monitor completion progress and follow up with employees and supervisors to support timely completion.
  • Maintain accurate training records, troubleshoot LMS issues, and generate basic training reports (e.g., completion, participation, status).

Training Delivery & Just-in-Time (JIT) Support
  • Deliver standardized virtual and/or in-person training sessions using established materials.
  • Facilitate onboarding and core training programs covering systems, processes, and tools.
  • Provide Just-in-Time (JIT) training support to address immediate operational or system-related needs as identified, assigned or requested.
  • Guide employees using existing resources and escalate complex or recurring issues to appropriate Learning and Development support.
  • Coordinate training schedules, session logistics, and communications.
  • Track attendance, completions, and participation across training programs.
  • Support preparation and setup for training sessions and initiatives.
  • Assist L&D team with execution of training programs and initiatives.

L&D Support & Escalation
  • Serve as the primary point of contact for Learning and Development support requests.
  • Respond to, track, and resolve training-related inquiries in accordance with established processes.
  • Ensure all requests are documented and closed appropriately.
  • Identify recurring issues and communicate trends to Learning and Development leadership.
  • Escalate complex or recurring issues to appropriate Learning and Development leadership for review and resolution.

Content & Knowledge Base Management
  • Upload, update, and maintain training materials, job aids, and documentation within the LMS and related systems.
  • Ensure materials reflect current processes, systems, and policies and are formatted for clarity and usability.
  • Maintain and update knowledge base content to support end-user access and self-service learning.
  • Other duties as assigned.

Requirements
Required Education and Experience:
  • Associate degree in Training, Education, Business, or a related field, or equivalent combination of education and relevant work experience.
  • 1-3 years of experience supporting training programs, onboarding coordination, LMS administration, or a similar role (property management industry experience preferred).
  • Hands-on experience working within a Learning Management System (LMS) to assign, track, and manage training.
  • Experience supporting onboarding programs and training coordination.
  • Experience maintaining or updating training materials, job aids, or instructional documentation.
  • Proficiency in Microsoft 365 applications, including Outlook, Teams, SharePoint, OneDrive, Word, Excel, PowerPoint, and Microsoft Forms.
  • Familiarity with property management systems (e.g., Yardi Voyager, RentCafé, Yardi Screening, Blue Moon) preferred.
  • Bilingual in English and Spanish preferred.
  • Successful completion of a background check and drug screening required.
  • Valid Driver's License and clean driving record required.
