Must be willing to work the following part-time schedule: Tues. 6am-8am and 5pm-9pm, every other weekend 9am-9pm.ย

Key Responsibilities:

  • Coordinate Schedules: Manage the creation and maintenance of client and care professional schedules with a strong focus on quality matches and seamless service.

  • Responsive Placement: Quickly and effectively place care professionals in response to call-offs, schedule gaps, or evolving client needs.

  • Proactive Planning: Anticipate staffing needs, address scheduling challenges before they arise, and maintain smooth operations across all shifts.

  • Availability & Communication: Maintain a consistent home office presence to ensure immediate responsiveness to client and care professional needs.

  • On-Call Coverage: Participate in periodic overnight on-call shifts to ensure 24/7 support and continuity of care.

  • Relationship Management: Build positive relationships with care professionals and clients through active listening, thoughtful negotiation, and professional communication.

  • Coaching & Support: Provide guidance to care professionals on interpreting client care plans, company policies, and service standards.

  • Client Introductions: Coordinate introductions between new clients and care professionals, using discretion to foster trust and compatibility.

  • Efficiency & Compliance: Strategically manage schedules to maintain service hours, minimize overtime, and ensure compliance with all company and client policies.

  • Quality Assurance: Identify opportunities to enhance service delivery and follow through to maintain exceptional care standards.

  • Accurate Documentation: Log all communications, schedule changes, and relevant activity within the Home Instead Operating System (WellSky).

  • Transportation Coordination: Arrange transportation for care professionals as needed (e.g., Uber scheduling).

  • Collaboration: Actively participate in team, administrative, and care professional meetings.

  • Flexibility: Provide coverage for holidays, training sessions, and other assignments as needed.

Minimum Qualifications:

  • Associateโ€™s degree preferred, or equivalent professional experience.

  • At least three years of supervisory experience required
  • Strong computer skills with proficiency in Microsoft Word, Excel, and scheduling software.

  • Demonstrated ability to work independently, exercise sound judgment, and maintain discretion.

  • Exceptional communication and interpersonal skillsโ€”both written and verbal.

  • Strong organizational and time management abilities, with meticulous attention to detail.

  • Proven problem-solving, negotiation, and relationship-building skills.

  • Positive, resilient, and adaptable with the ability to manage multiple priorities in a fast-paced environment.

  • Professional integrity, reliability, and a commitment to excellence.

  • Willingness to work an abnormal schedule, including twelve-hour weekend shifts.
  • Regular, predictable attendance required.
