Warranty Administrator - Service Department
Fred Haas Toyota World

Fred Haas Toyota World is seeking a detail-oriented and organized Warranty Administrator to support our Service Department operations. This role is responsible for managing warranty claims, ensuring compliance with manufacturer policies, and maintaining accurate documentation to support timely reimbursements.

Job Responsibilities

  • Reviews and processes warranty claims in accordance with manufacturer guidelines
  • Verifies repair orders for completeness, accuracy, and proper documentation
  • Submits warranty claims within required timeframes
  • Monitors claim status and follows up on outstanding or rejected claims
  • Communicates with service advisors and technicians to clarify repair details when needed
  • Maintains records of all warranty transactions and supporting documentation
  • Reconciles warranty receivables and assists with month-end reporting
  • Stays current with manufacturer warranty policies and updates
  • Assists in resolving discrepancies related to warranty payments
  • Supports overall service department administrative functions as needed

Requirements

This position requires strong attention to detail, organization, and the ability to manage multiple tasks in a fast-paced environment. Education and/or Experience

  • High School Diploma or GED required; additional administrative or technical training preferred
  • One to three years of experience in an automotive service or warranty-related role, or equivalent combination of education and experience

The employee frequently is required to walk; use hands to handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to sit; and may need to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
