Description
The Purchasing Manager is responsible for the strategic leadership, administration, and execution of all hotel purchasing, receiving, inventory control, and storeroom operations for Grand Hyatt Nashville, a 591-room luxury hotel and premier convention destination in downtown Nashville. This position oversees the procurement of goods and services while ensuring compliance with brand standards, company policies, budget objectives, and operational requirements.
The Purchasing Manager serves as the primary liaison between the hotel and its vendors, developing strong supplier relationships, negotiating favorable pricing and service agreements, and ensuring consistent product quality and delivery performance. The position maintains ownership of the Hilton Supply Management (HSM) leveraged buying program and is responsible for the administration, maintenance, optimization, and training of all BirchStreet modules utilized by the hotel. This includes full ownership of inventory-related processes, system workflows, requisitions, transfers, receiving, reporting, and user administration.
This role works in close partnership with the Executive Chef, Executive Sous Chefs, Outlet Chefs, Food & Beverage leadership team, and operational department heads to support the successful operation of all kitchens, restaurants, bars, banquet venues, and catering functions. The Purchasing Manager ensures timely fulfillment of departmental requisitions, accurate inventory transfers, effective product distribution throughout the property, and exceptional service to internal stakeholders.
Additionally, the Purchasing Manager oversees loading dock operations supporting the hotel's significant group and convention business. This includes coordinating large-scale event load-ins and load-outs, managing vendor access, and ensuring efficient dock operations to support banquet, conference, and special event functions. Attendance at weekend Pre-Convention (Pre-Con) meetings may be required based on business demands.
Leadership & Team Management
  • Lead all purchasing, receiving, inventory, and storeroom operations for Grand Hyatt Nashville
  • Direct, coach, develop, and evaluate a team of four associates, ensuring accountability, engagement, and operational excellence.
  • Establish departmental goals, performance standards, and operating procedures that support hotel objectives.
  • Promote a culture of partnership, service, safety, and continuous improvement.

Vendor Management & Strategic Procurement
  • Serve as the primary hotel contact for vendor relationship management, maintaining strategic partnerships and ensuring vendors meet service, pricing, quality, and contractual expectations.
  • Lead sourcing initiatives and identify opportunities for cost savings, product improvements, and operational efficiencies.
  • Manage all aspects of the Hilton Supply Management (HSM) leveraged buying program, ensuring compliance and maximizing available savings opportunities.
  • Monitor market trends, product availability, and pricing fluctuations to proactively support business needs.

Culinary & Food & Beverage Partnership
  • Develop and maintain strong working relationships with the Executive Chef, Executive Sous Chefs, Outlet Chefs, and Food & Beverage leadership team.
  • Serve as a strategic business partner to culinary leadership by providing guidance on purchasing trends, product sourcing, inventory controls, market conditions, and cost management opportunities.
  • Collaborate with culinary leadership to establish inventory strategies, par levels, and purchasing plans that align with hotel occupancy, banquet demand, and group activity.
  • Partner with culinary and finance leadership to investigate inventory variances, usage trends, waste concerns, and cost fluctuations.
  • Build strong partnerships with executive-level culinary and operational leaders to support the hotel's financial objectives, service standards, and guest experience.

Inventory Management & BirchStreet Ownership
  • Maintain full ownership of all inventory-related BirchStreet processes, including requisitions, transfers, receiving, storeroom issuance, inventory counts, workflow approvals, reporting, and user administration.
  • Serve as the hotel's BirchStreet subject matter expert, providing training, support, troubleshooting, and system optimization.
  • Oversee all inventory management processes, including receiving, storage, transfers, adjustments, reconciliations, valuation, and month-end reporting.
  • Ensure inventory accuracy through routine audits, cycle counts, spot checks, and process reviews.
  • Analyze purchasing trends, inventory levels, consumption patterns, and pricing variances to identify opportunities for cost control and operational improvement.
  • Ensure compliance with all hotel inventory controls and accounting procedures.

Requisitions, Transfers & Storeroom Operations
  • Oversee and manage the hotel's requisition process, ensuring all kitchens, outlets, bars, banquet operations, and support departments receive products accurately and on a timely basis.
  • Ensure efficient product flow from receiving through storage and issuance while supporting the operational requirements of multiple food and beverage outlets and banquet venues.
  • Monitor and validate inventory transfers between kitchens, restaurants, bars, banquet operations, warehouse locations, and liquor storage areas to ensure inventory accuracy and proper cost allocation.
  • Ensure all requisition and transfer activity within BirchStreet is accurately processed, reconciled, and reported in accordance with established policies and internal controls.
  • Provide exceptional internal customer service while balancing operational needs, inventory accountability, and financial stewardship.

Receiving, Logistics & Loading Dock Operations
  • Manage hotel loading dock operations, receiving schedules, deliveries, and logistics activities.
  • Coordinate large-scale convention and group-event load-ins and load-outs, ensuring efficient dock utilization and operational support.
  • Partner with Events, Banquets, Engineering, Security, and Food & Beverage teams to support group and convention activity.
  • Oversee the receiving and distribution of hotel shipments while maintaining proper receiving documentation and controls.
  • Ensure compliance with safety standards and operational procedures within receiving and dock areas.

Compliance & Other Responsibilities
  • Ensure compliance with Hyatt standards, company policies, safety regulations, and internal controls.
  • Attend operational meetings, leadership meetings, and weekend Pre-Convention (Pre-Con) meetings as business levels require.
  • Perform special projects and other duties as assigned.

EDUCATION & TRAINING
  • Bachelor's Degree in Hospitality Management, Supply Chain Management, Business Administration, Finance, or related field preferred.
  • High School Diploma or equivalent required.

KNOWLEDGE & EXPERIENCE
  • Minimum three (3) years of progressive purchasing, procurement, inventory control, hospitality operations, or food and beverage management experience.
  • Minimum two (2) years of supervisory or management experience.
  • Experience in a large full-service hotel, convention hotel, resort, or high-volume hospitality operation strongly preferred.
  • Experience with BirchStreet procurement and inventory management systems strongly preferred.
  • Experience managing vendor relationships, contract negotiations, and cost-control initiatives.
  • Experience supporting complex banquet, catering, and convention operations preferred.
  • Demonstrated experience leading inventory management and storeroom operations in a high-volume environment.
