Description

Position Summary
The Event Manager is responsible for managing all aspects of events at the Lod Cook Alumni Center. This person oversees event room set-ups, service, and maintenance of all functions and equipment. This is a highly detailed role that focuses on creating an excellent guest experience at the Lod Cook Alumni Center. The position is part-time (up to 20 hours per week) and requires a flexible schedule, including weekends and nights.  The Event Manager job is ideal for a student or recent retiree.  


Essential functions

  • Arrive at scheduled time and complete pre-event checklist to be sure that the venue is ready for the event and correctly set up according to client specifications.
  • Coordinate with catering to ensure food and beverage items are correctly set up according to client specifications and served at the specified time during the event.
  • Verify facilities (including restrooms) are clean and in acceptable condition; coordinate with LCAC facilities staff if needed.
  • Verify that audio visual needs are working properly (microphones, batteries, cords, adapters, screens, laptops, etc.) and are correctly set up according to client specifications.
  • Walk the entire LCAC space before, during and after the event to be sure the space is clean, orderly, complies with safety standards, and identify any problems areas that need attention.
  • Consistently check in with client numerous times throughout the event to be sure that client needs are being met; proactively offer assistance throughout the event.
  • Make changes to set-ups, audio visual, (chairs, microphones, linens, a/v equipment) as requested by client and document those changes to be sure billing is correct.
  • Adjust lighting, air conditioning/heat, background music, as requested by the client before or during the event.
  • Solve problems as they arise before or during events to be sure the client has the best possible event experience; requires working closely with facilities staff, catering, and hotel staff to identify issues and solve them expediently.
  • Complete post-event checklist items to be sure that the alumni center is clean and acceptable in appearance and secured before leaving the shift.
  • Coordinate with caterers to be sure all food items have been removed at the conclusion of the event.
  • Performs other duties as assigned by supervisor.

Minimum Qualifications

  • High school diploma
  • Refined verbal and written communication skills
  • Excellent problem solving skills.

Knowledge, Skills, and Abilities

  • A true desire to satisfy the needs of others in a fast paced environment.
  • Ability to stand for long periods of time and walk moderate distances
  • Ability to lift, pull, and push a moderate weight (about 50 pounds)
  • Must be able to work a flexible schedule, including weekends and holidays
  • Proficient in basic computer skills
