Job Description

Overview

Are you a creative event professional who thrives on bringing people together and transforming ideas into memorable experiences? Join our team and take ownership of the planning, coordination, and execution of Kalamazoo Country Club's club-sponsored events and member programming.

In this role, you will shape experiences that strengthen member engagement and bring the Kalamazoo Country Club community together, from golf and racquets events to holiday celebrations, themed dining experiences, pool parties, tournaments, trivia nights, and other signature programming. Serving as the central event owner, you will partner across Club departments to guide each event from initial concept through seamless execution.

This is a unique opportunity to create signature programming within Kalamazoo Country Club's clubhouse featuring elevated experiences including multiple dining venues, three resort-style pools, movie theater, bowling alley and much more. Opened in June 2026 and recognized as the second-largest clubhouse in the United States, this exceptional setting provides an extraordinary canvas for creating new traditions and memorable member experiences.

Through thoughtful planning, disciplined documentation, and visible on-site leadership, you will ensure every club-sponsored event reflects Kalamazoo Country Club's elevated service standards while supporting participation, financial stewardship, and operational excellence.

What You'll Be Doing
  • Club Event Programming: Develop and manage the annual calendar of club-sponsored events and member programming in partnership with Club leadership, creating a thoughtful mix of experiences that strengthens engagement and reflects member interests and traditions.

  • Cross-Departmental Collaboration: Partner with Golf, Racquets, Aquatics, Activities, Food and Beverage, and other Club leaders to develop event concepts, establish responsibilities, and ensure shared alignment from initial planning through execution.

  • Event Planning & Coordination: Own the full lifecycle of club-sponsored events by creating structured timelines, operational plans, and clear deliverables that support consistent, well-organized execution.

  • Event Detailing & Documentation: Develop comprehensive Banquet Event Orders (BEOs), including menus and pricing, room layouts, audio-visual needs, decor, event timelines, and staffing requirements, while maintaining consistent GHG Events documentation and communication standards.

  • Operational Readiness: Lead pre-event alignment meetings and proactively confirm details, resources, and departmental responsibilities to ensure teams are prepared for successful execution.

  • On-Site Event Leadership: Provide visible, hands-on leadership during club-sponsored events, serving as the primary event owner and operational point of contact while ensuring service flow, timing, presentation, and member engagement reflect KCC standards.

  • Financial Stewardship: Partner with Food and Beverage leadership to develop financially responsible events by monitoring food, labor, entertainment, rental, and decor expenses while identifying opportunities to increase participation, revenue, and overall event value.

  • Marketing Partnership: Collaborate with Marketing and Club leadership to support clear, timely, and compelling promotion of club events and member programming.

  • Strategic & Cross-Property Collaboration: Partner with the Corporate Director of Events to maintain consistency with GHG event standards and support cross-property events, special projects, and strategic initiatives as requested.

  • Event Team Partnership: Collaborate closely with the Event Sales & Services Manager to maintain shared awareness of event details, priorities, and processes, enabling both roles to provide effective coverage and continuity during peak periods, scheduled absences, or at the direction of the Corporate Director of Events.

What You Need For This Position
  • Minimum of 3 years of experience in event sales, convention services, or hospitality event management, preferably within a private club or luxury hospitality environment.

  • Demonstrated ability to manage contracted events from initial inquiry through seamless execution with confidence and precision.

  • Strong consultative selling mindset with the ability to guide members through meaningful, milestone-driven decisions with professionalism and care.

  • Exceptional organizational and time management skills with disciplined attention to detail and documentation.

  • Professional presence and sound judgment to lead high-profile or milestone-driven events with confidence, discretion, and poise.

  • Financial awareness with an understanding of pricing strategy, cost drivers, and billing processes within a hospitality environment.

  • Strong written and verbal communication skills with the ability to collaborate effectively across departments.

  • Working knowledge of banquet operations, food and beverage service standards, and event production logistics.

  • Availability to work evenings and weekends in alignment with the private event calendar.

  • Ability to stand for extended periods and lift up to 40 pounds.
