Job description

Full-Time | Construction / Public Works

We are seeking a detail-oriented and motivated Assistant Project Manager / Bid Coordinator to support our estimating, bidding, and project management operations. This position is ideal for someone who understands construction, is highly organized, and can manage deadlines while assisting projects from the bidding stage through construction and closeout.

Key Responsibilities

Bidding & Preconstruction

·       Review plans, specifications, bid documents, and addenda.

·       Prepare and organize public works and private construction bids.

·       Review bid requirements and maintain bid checklists to ensure all required documents are submitted.

·       Perform quantity takeoffs and assist with pricing bid items.

·       Solicit and organize subcontractor and supplier quotes.

·       Prepare subcontractor comparisons and scope reviews.

·       Verify licenses, DIR registration, DBE requirements, bonds, insurance, certifications, and other bid requirements.

·       Track bid dates, addenda, RFIs, and proposal deadlines.

·       Assist with bid submissions and ensure proposals are complete and submitted on time.

Assistant Project Management

·       Assist Project Managers with awarded projects from startup through closeout.

·       Review project plans, specifications, contracts, and scopes of work.

·       Prepare and track RFIs, submittals, change orders, and project documentation.

·       Coordinate with subcontractors, suppliers, inspectors, engineers, and project personnel.

·       Track project schedules, material deliveries, and outstanding project items.

·       Assist with quantity tracking, cost tracking, and project budgets.

·       Maintain organized electronic and physical project files.

·       Assist with progress billings and supporting documentation.

·       Track prevailing wage and public works documentation as needed.

·       Assist with project closeout, including warranties, releases, certified payroll documentation, and other required closeout documents.

Qualifications

·       Construction industry experience preferred.

·       Experience with public works bidding is highly preferred.

·       Strong attention to detail — especially when reviewing bid requirements, addenda, and deadlines.

·       Ability to read construction plans and specifications.

·       Strong organizational and time-management skills.

·       Comfortable communicating with subcontractors, suppliers, engineers, and public agencies.

·       Proficient with Microsoft Excel, Word, Outlook, and general construction software.

·       Experience with Bluebeam, PlanSwift, estimating software, or project management software is a plus.

·       Ability to manage multiple bids and projects simultaneously.

·       Must be dependable and able to work in a deadline-driven environment.

·       Must possess a valid California driver’s license.

·       Must maintain a clean and acceptable driving record.

·       Must be able to travel to jobsites, agency offices, pre-bid meetings, and other project-related locations as required.

·        Must remain eligible to operate a company vehicle under the company’s automobile insurance requirements.

Ideal Candidate

We are looking for someone who does more than simply process paperwork. The right candidate will take ownership of their responsibilities, double-check their work, identify missing information before deadlines, and proactively follow up with the project team.

This position has significant opportunity for growth and can develop into a Project Manager or Estimator/Project Manager role as experience and responsibilities increase.
