Our client is a real estate investment firm; they seek a Banking Operations Manager to join their Manhattan office.

Position Summary

The Banking Operations Manager is responsible for leading the organization's banking operations across a mixed portfolio of real estate assets. This role oversees the administration, maintenance, and reconciliation of more than 500 bank accounts while ensuring compliance with company policies, banking requirements, and internal controls.

The Banking Operations Manager leads a team of four Banking Analysts, providing oversight of daily banking operations, bank account administration, reconciliation processes, and banking system management. This position serves as a key liaison between Treasury, Accounting, Asset Managers, Mortgage, Accounts Payable, Accounts Receivable, financial institutions, and external managing agents to ensure efficient banking operations that support the company's business objectives.

Key Responsibilities

  • Lead, mentor, and develop a team of four Banking Analysts, establishing performance expectations and ensuring accurate and timely completion of banking activities.
  • Oversee the administration of more than 500 bank accounts, including account openings, maintenance, modifications, closures, and ongoing account governance across a mixed real estate portfolio.
  • Coordinate with financial institutions and external managing agents to establish and maintain bank accounts, ensuring proper signer authority, banking documentation, and account records are accurate and complete.
  • Maintain a comprehensive inventory of all internally and externally managed bank accounts, ensuring account information is current and accurately reflected across all systems.
  • Review banking requests to determine appropriate account structures based on property ownership, legal entities, cash management requirements, and operational needs.
  • Utilize knowledge of MRI accounting software and property ownership structures to ensure accurate property setup, bank account configuration, and accounting alignment.
  • Oversee the setup and maintenance of bank accounts within MRI and Kyriba Treasury Management System, ensuring data integrity and consistency between both platforms.
  • Review and approve bank reconciliations completed by the Banking Analysts, ensuring accounts are reconciled timely, bank fees and service charges are accurately allocated, and outstanding discrepancies are investigated and resolved.
  • Review and approve journal entries prepared by the Banking Analysts, ensuring accuracy, proper support, and compliance with accounting policies.
  • Monitor outstanding reconciliation items and drive timely resolution of discrepancies through effective follow-up and coordination with internal teams.
  • Partner with the Treasury team to identify accounts with excess cash available for investment, recommend consolidation or closure of inactive or low-yield accounts, and support optimization of the banking portfolio.
  • Collaborate with Mortgage, Asset Managers, Accounts Payable, Accounts Receivable, Collections, Accounting, and other business partners to support banking requirements, financing activities, and operational needs.
  • Maintain banking documentation, authorized signer records, and account information in accordance with company policies and internal control requirements.
  • Develop and maintain standard operating procedures to improve efficiency, strengthen controls, and enhance banking processes.
  • Identify opportunities to automate and streamline banking operations while improving accuracy and service levels.
  • Prepare operational reporting and provide recommendations to management regarding banking processes, account structures, and operational improvements.
  • Support acquisitions, dispositions, portfolio transitions, and other strategic initiatives requiring new banking relationships or account structures.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Five to eight years of progressive experience in banking operations, treasury, cash management, or accounting, preferably within the commercial real estate industry.
  • Minimum of three years of supervisory or management experience leading professional staff.
  • Experience managing complex banking operations involving a large volume of bank accounts.
  • Advanced knowledge of MRI accounting software, including property setup and banking configuration.
  • Experience with Kyriba Treasury Management System or a similar treasury platform preferred.
  • Strong understanding of bank account administration, reconciliations, journal entry review, cash management, and internal controls.
  • Strong analytical, organizational, and problem-solving skills with the ability to manage multiple priorities.
  • Excellent communication and relationship management skills with the ability to collaborate effectively with internal teams, financial institutions, and external partners.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
