Job description

Full-time. $24.00 an hour. Blue Cross and Blue Shield of Alabama medical, prescription, dental and vision insurance. Vacation and holidays. 401k retirement. This position assists with project tracking, maintenance planning, contractor coordination, documentation management, and day-to-day facility support activities to help ensure campus facilities remain safe, functional, and operational.

RESPONSIBILITIES

Essential Functions

  • Assist with coordinating facility repair, renovation, and improvement projects.
  • Support infrastructure improvement planning with input of equipment data in database (FMX) with established Smart Equipment numbers including preventive maintenance planning work instructions and scheduling PMโ€™s.ย  This also includes generation and installation of QR codes.
  • Assist with aligning Maintenance contracts with FMX and planned maintenance activities. This includes maintaining a database for Contractor Certificates of Insurance, W9โ€™s, and other documents
  • Generate monthly established metrics reports for departmental performance monitoring
  • Maintain facility records: Work orders, Blueprints, Warranties, Equipment QR Codes, Equipment manuals, inspection reports, etc.
  • Conduct routine facility walkthroughs and report maintenance or safety concerns.
  • Coordinate with maintenance staff, vendors, and contractors to support daily operations and project completion.
  • Assist with obtaining quotes, preparing purchase requests, and tracking expenses related to facility projects.
  • Support space planning efforts for offices, classrooms, exhibits, and operational areas.
  • Ensure documentation and activities align with applicable safety standards and facility procedures.
  • Prepare reports, spreadsheets, and presentations related to facility operations and planning activities.
  • Respond to routine facility requests and assist with operational troubleshooting as needed.
  • Support special events and campus operational needs when required.

QUALIFICATIONS

Required Education

  • Associate degree or coursework in Facilities Management, Construction Management, Business Administration, Engineering Technology, or related field preferred.

Required Experience

  • 1โ€“3 years of experience in facilities support is preferred
  • Strong organizational and multitasking abilities.
  • Proficiency with Microsoft Office Suite, especially Excel and Outlook.
  • Ability to communicate effectively with staff, contractors, and vendors.
  • Basic understanding of building systems and facility operations preferred.
  • Ability to prioritize tasks and work independently with moderate supervision.

OTHER REQUIREMENTS

Preferred Skills

  • Experience with CMMS or work order management systems.
  • Experience working in museums, educational campuses, entertainment venues, or public facilities is a plus.
  • Strong customer service and teamwork skills.

Physical Requirements

  • Ability to walk throughout the campus and access facility areas as needed.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to work indoors and outdoors in varying weather conditions.
  • Occasional evening, weekend, or event support may be required.
