Job description

JOB SUMMARY:
The Mailing Services Specialist position represents a specialized role for assisting with the day-to-day operations of the Mailroom. This associate will primarily handle the more technical, and at times confidential, mailing processes.
ESSENTIAL JOB FUNCTIONS:
The employee in this position will have the following essential job functions:
  • Manage the Mailing Services email by responding to and sending emails on a daily basis
  • Problem solve unknown and/or questionable mail (e.g., letter mail, packages)
  • Work closely with department offices for specialized projects requiring specific shipping solutions (e.g., Institution Advancement's grad boxes, donor mail and gifts)
  • Conduct end of month finance reporting and process Business Reply Mail with Accounting
  • Handle Mailbox Assignments, Removals, and Rentals
    • Become proficient in Jenzabar, Google Sheets, and Pitney Bowes
    • Maintain organized and efficient processes
  • Oversee the distribution and collection of mailbox keys
    • Maintain check-in and check-out procedures for mailboxes
    • Order key copies
  • Process forwarding mail by utilizing mail forwarding software in Jenzabar
  • Keep student profiles up to date in mailroom systems
  • Provide support to Assistant Manager with various administrative tasks as assigned

GENERAL EXPECTATIONS:
  • Possess a strong work ethic and proactive attitude
  • Work to problem solve and find solutions
  • Maintain spatial organization in the mailroom so that work flow proceeds smoothly
  • Communicate well with students and offices
  • Become proficient in POS systems, including Lightspeed, Pitney Bowes, Papercut
  • Able to perform general associate duties when required

Performs other duties as may be assigned by supervisor.
EDUCATION:
The person in this position should be pursuing a 4-year degree.
EXPERIENCE:
The person in this position preferably will have experience working in a fast-pace environment, preferably in a retail context. The person in this position should also have experience with customer interaction and problem solving.
SUPERVISION:
The person in this position will report to the Assistant Manager and Director of Retail Services. The person in this position will not supervise anyone.
WORK ENVIRONMENT:
The person in this position will work in a dynamic environment, often standing, sitting, bending and stretching, regularly lifting up to 40 pounds.
EQUIPMENT:
The person in this position will use standard office equipment, cash registers, dollies, and postal scales and meters.
