The Office Services Associate assumes a pivotal role in ensuring the smooth functioning of office operations by delivering comprehensive support services, including back-office support, hospitality, mail handling, and reprographics. Reporting to the Lead Office Services Associate or the Client Relations Manager, this position bears significant responsibility for maintaining a professional and efficient office environment.

Location: Los Angeles, CA
Pay: 27.50-28.50hr

Schedule: Monday-Friday (9am-6pm)

Print, Copy, and Mail Services:

  • Operate and maintain office printing and copying equipment.
  • Coordinate and manage print jobs, ensuring accuracy and timely completion.
  • Sort, distribute, and manage incoming and outgoing mail, including packages and deliveries.
  • Maintain records of postage usage and manage postage meter supplies.

Hospitality Functions:

  • Set up and break down conference rooms for meetings and events, ensuring all equipment and supplies are in place and functioning.
  • Assist with event coordination, including catering arrangements and logistics.
  • Stock and maintain inventory of office supplies, including paper, pens, and other essentials.
  • Ensure coffee makers and other kitchen equipment are stocked and functioning, including making coffee as needed.

General Office Support:

  • Monitor and maintain cleanliness and organization of common areas, including conference rooms, kitchen, and supply rooms.
  • Assist with special projects and tasks as needed to support the office team.
  • Provide excellent customer service to employees and guests, addressing their needs and inquiries promptly.

Qualifications:

  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Previous experience in an office support role, particularly in print, copy, and mail services.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Excellent interpersonal and communication skills.
  • Proficiency with basic office equipment and software (e.g., Microsoft Office Suite).
  • Ability to lift and move packages and supplies as needed.
