JOB SUMMARY
The Mail Coordinator will be responsible for managing our guests' incoming mail, including receiving mail and packages from various postal services, sorting and entering mail into our database, and working alongside the Housing Advocate team to ensure timely delivery of mail to guests. This role is a critical part of providing stability and essential services to guests working to overcome homelessness.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Sort, file, and distribute client and staff mail in a timely and accurate manner.
  2. Prepare all outgoing mail, ensuring packages and letters are correctly labeled and stamped for accurate delivery.
  3. Support Housing Advocates with mail delivery, storage room operations, and other front desk duties as needed.
  4. Maintain a clean, organized, and clutter-free mail room and storage room.
  5. Pick up mail from the mailbox and drop off outgoing mail to the post office on a regular schedule.
  6. Manage office supply inventory and place orders as needed, with director approval.
  7. Conduct facility tours for clients as required.
  8. Lead the clean team every Wednesday.
  9. Support Housing Advocate Supervisors and Kitchen Manager in managing the sack lunch and work verification approval lists.
  10. File vital documents for clients and coordinate the issuance of these documents with case management.
  11. Provide trauma-informed customer service to all guests, ensuring everyone is treated with respect and dignity.
  12. Attend mandatory agency trainings, including Trauma-Informed Care, Housing Focused, De-escalation, Suicide Prevention, CPR, and more.
  13. Participate in emergency drills and environmental safety activities, as required.
  14. Follow all agency protocols for security, safety, and sanitation to maintain a clean and secure environment for guests and staff.
  15. Maintain regular and reliable attendance as an essential function of this position.

EDUCATION AND EXPERIENCE

  1. High school diploma or GED required.
  2. Previous experience working with diverse populations is preferred.
  3. Previous experience working with computers, basic databases, and filing systems preferred.

SKILLS AND EXPECTATIONS
  1. Sort and file mail with a high degree of accuracy and efficiency.
  2. Track and process all undeliverable mail in accordance with established procedures.
  3. Provide reliable support to Housing Advocates and other team members as needed.
  4. Maintain strict confidentiality and handle all client mail and vital documents with discretion and integrity.
  5. Manage and organize inventory of office supplies and mailroom materials.
  6. Strong interpersonal skills and ability to work with diverse populations.
  7. Provide thoughtful and attentive customer service by communicating clearly and handling difficult situations with professionalism, patience, and empathy.
  8. Use basic computer programs (email, spreadsheets, and more) and have basic computer skills.
  9. Ability to accept supervision, direction, and feedback with openness.
  10. Communicate clearly and effectively with clients, coworkers, and supervisors using verbal and written communication.
PHYSICAL AND EQUIPMENT REQUIREMENTS
  • Ability to lift and move heavy items up to 50 pounds.
  • Ability to sit, stand, and move for at least an hour at a time or more.
  • Ability to bend, squat, kneel, twist, push, and pull to perform job functions.
  • Must be at least 21 years old, have a valid, unexpired driver's license, and the ability to drive a vehicle, as needed.
