Responsibilities
About the role:
Type: Part-Time, Temporary (8 hours per week)
Compensation: $17.64/hr - $24.71/hr
Location: Nashville, TN
Hours: Flexible
What to Expect:
The Mail Clerk is responsible for receiving, sorting, scanning, and routing incoming mail and documents to the appropriate departments in a timely manner. This position handles confidential and protected information and must maintain strict compliance with HIPAA, company confidential standards, and records management procedures. The role also provides general administrative support to maintain office operations
Key Responsibilities
Mail Processing
Receive, sort, open, and organize incoming mail from multiple internal and external sources. Determine the appropriate department for each document and route accordingly.
Document Management
Scan documents accurately and electronically distribute them to the appropriate department. Maintain document quality and ensure timely processing. Identify opportunities to improve mail routing efficiency and perform other duties as assigned.
Compliance and Confidentiality
Handle confidential and protected information in accordance with HIPAA and Matrix policies. Protect sensitive employee, provider, and business information. Maintain an organized workspace
Administrative Support
Assist with copying, filing, printing, and other administrative duties.
Equipment
Operate scanners, copiers, postage equipment, and other office machines safety and efficiently
Qualifications
Education
High School Diploma or GED required
Experience
Six (6) months to one (1) year of administrative, office, mailroom, or clerical experience preferred
Competencies and Skills
- Strong attention to detail and organizational skills
- Ability to maintain confidentiality and discretion
- Working knowledge of Microsoft Outlook, Word, and Excel
- Basic scanning and office equipment proficiency.
- Effective verbal and written communication skills
- Ability to work independently while collaborating with multiple departments
- Ability to prioritize work and meet deadlines
