Job description

Job Title: Operational Support Specialist, Mail & Distribution Services
Full-Time
Springfield MA
We're looking for a dependable Mailroom Clerk to support day-to-day mail service functions including receiving, sorting, tracking, and delivering mail and packages to various lines of business. This role helps ensure accurate, timely distribution and smooth outbound shipping operations while following established procedures and service standards.
The Opportunity
  • Receive, sort, log, and distribute incoming mail from the postal service and vendors to maintain accurate records and reports (Certified, Registered, Business Reply, Sort Paid and Priority Mail).
  • Unload and process USPS mail and express shipments; enter items into our Brynka tracking/shipping systems.
  • Deliver mail and packages to designated areas on schedule, prioritizing accuracy and customer service.
  • Prepare outgoing USPS and express shipments (including freight as needed) using required software, equipment, and procedures.
  • Operate standard mailroom equipment (e.g., postage meters and shipping/mailing systems) and, where applicable, warehouse equipment (e.g., powered industrial trucks).
  • Prep and audit, digital mail for individuals that Opt. In to the program. Maintaining DO NOT OPEN list for correspondence specific to certain lines of business.
  • Use basic PC skills to follow established guidelines and escalate complex issues to the appropriate contacts.

The Team Approach
The Mail team operates as a cohesive unit, working together to meet department goals and support daily operations. Every team member is cross-trained, enabling them to step into any role within the department as needed, even on short notice. This flexibility ensures that all mailroom functions are consistently fulfilled without interruption. In addition to the mailroom functions, this job includes training in the Mail Center as well as the Warehouse.
In addition to routine responsibilities, the Mail team remains attentive to the specific needs of the various lines of business. They assist with special projects whenever required and maintain clear communication regarding departmental functions and deadlines, helping ensure smooth collaboration and timely completion of tasks.
Minimum Qualifications
  • High School diploma
  • Able to be onsite Monday - Friday
  • Hours of operation are 7:00 am - 3:30 pm daily.
  • Ability to stand, walk, and move throughout the site and lift/carry packages as required for the role.
  • 1+ year of experience with Microsoft Word

Ideal Qualifications
  • Strong attention to detail, organization, and reliability.
  • Customer-service mindset and clear communication skills.
  • Ability to follow procedures, maintain confidentiality where applicable, and work independently.
  • Experience in mail services, shipping/receiving, or warehouse operations is a plus.
  • Experience using tracking/Shipping software
  • Hazmat training to ensure that packages are being shipped within the guidelines.

Salary Range:
$44,500-$56,100
