Job description

Office Assistant

Welcome to Rosauers Supermarkets, where we've been serving our communities for decades! Behind our stores is a corporate team that helps keep everything moving, and our Office Assistant plays an important role in making that happen.

This position is a combination of front desk support, mailroom operations, and general office assistance. From welcoming visitors and answering incoming calls to making sure important mail and deliveries get to where they need to go, you'll help keep our corporate office organized, connected, and running smoothly.

The Opportunity

Are you organized, dependable, and someone who enjoys being the person others can count on? Do you like a role where every day brings a mix of responsibilities? As our Office Assistant, you'll help manage the daily flow of mail, packages, and deliveries throughout the corporate office while also serving as a friendly and professional first point of contact for employees, visitors, customers, and vendors.

You'll work with people across the organization and play an important behind-the-scenes role in keeping information, packages, and day-to-day front desk and mailroom operations moving.

Work Schedule

  • Monday through Friday
  • 7:30am to 4:00pm
  • Full-time, 40 hours per week
  • This is an in-person position at our Corporate Office

Mailroom & Office Support

  • Receive, sort, organize, and distribute incoming mail, packages, and deliveries
  • Prepare and process outgoing mail and shipments
  • Ensure mail and deliveries are routed to the appropriate people in a timely manner
  • Coordinate the daily flow of mail between the corporate office and stores
  • Maintain an organized and efficient mailroom
  • Assist employees and departments with mailing and shipping needs
  • Track and communicate information related to deliveries when needed
  • Perform other duties as assigned

Front Desk Support

  • Greet and welcome visitors to the corporate office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and route incoming phone calls and emails
  • Take messages and ensure they reach the appropriate person in a timely manner
  • Provide basic and accurate information in-person and via phone/email
  • Help maintain building safety and security by monitoring visitor access
  • Make announcements to the corporate office over the intercom
  • Keep the front lobby and reception area welcoming, clean, and organized
  • Handle cash box transactions by accepting payments and giving change
  • Keep corporate office, stores, and vendor contact information lists up to date
  • Assist with the filing, scanning, faxing, and uploading of documents
  • Provide coverage and support across both the front desk and mailroom
  • Perform other duties as assigned

Requirements

  • Candidates must be 18+ years or older
  • Complete a pre-employment background check
  • Previous work experience in a similar role
