Position Summary:

Florida Atlantic University is seeking an Assistant Director of Advancement Operations in Boca Raton, FL.

The Assistant Director of Advancement Operations supports Central Advancement operations, talent management initiatives, and administrative functions in the Division of Institutional Advancement.

Summary of Responsibilities includes:

Executive & Administration Support:

  • Serve as primary administrative support to the AVP, Operations.

  • Carries out day-to-day operations for Central Advancement within the Division of Institutional Advancement, including talent management support.

  • Makes daily decisions regarding departmental needs to ensure efficient operations and workflow.

  • Supervises Central Advancement, student interns.

  • Coordinates special projects and assists with project tracking and timelines.

  • Provides meeting and event preparation support, including scheduling meetings, preparing agendas, compiling materials, coordinating logistics, recording and distributing meeting minutes, and ensuring readiness for internal and external meetings and events.

  • Assists with the coordination of major Advancement events.

  • Prepares, manages, and distributes correspondence, memoranda, reports, presentations, and other materials as needed.

  • Creates PowerPoint presentations and additional materials as needed.

  • Maintains organized physical and digital filing systems.

  • Assists with vendor communications, quotes, contracts, invoices, and purchasing processes in accordance with university policies and procedures.

  • Performs appropriately and responsibly with respect to highly confidential matters.

HR & Talent Management:

  • Serve as Central Advancement's HR Partner to the Human Resources department.

  • Manages recruitment, onboarding, and training processes for departmental hires and student employees.

  • Coordinate onboarding documentation, scheduling, and operational setup for new hires.

  • Maintain departmental personnel records, organizational documents, and staffing resources.

  • Support performance management processes, staff recognition efforts, and professional development initiatives.

  • Coordinate internal communications related to staffing updates, operational procedures, and departmental policies.

  • Assist with planning and coordinating division retreats, all-staff meetings, trainings, and team engagement initiatives, including logistics, communications, materials, and event support.

  • Perform other job-related duties and responsibilities as assigned by the Assistant Vice President for Advancement Operations or the Vice President of Institutional Advancement.

Minimum Qualifications:
