Job description

The Operations Assistant plays a critical role in keeping our FID Seaport location running smoothly. As the backbone of daily operations, this position supports the VP of Operations while providing cross-functional administrative and operational support to teams across Supply Chain, Coordination, Fabrication, Virtual Design and Construction (VDC), and Logistics.

This is a highly visible, hands-on role where you will serve as the primary point of contact for the facility ensuring a seamless experience for employees, customers, and vendors alike.  If you thrive in a fast-paced, team-oriented environment and enjoy being at the center of operations, this is an opportunity to make a meaningful impact.


This is a fully on-site position requiring a daily presence at our Seaport (FID) facility.

What You’ll Do

Team & Leadership Support

  • Provide direct administrative support to the VP of Operations, including calendar management, meeting preparation, and priority tracking
  • Support leaders across Logistics, VDC, Warehouse, and Fabrication with scheduling, documentation, and communication
  • Coordinate meetings by preparing agendas, capturing notes, and distributing follow-ups
  • Track action items, deadlines, and key operational metrics to ensure timely execution
  • Partner with the Corporate Administrative team and participate in monthly administrative meetings to maintain alignment across locations

Operations & Systems

  • Serve as the primary administrator for Fid Fab, ensuring project data is accurate and up to date
  • Generate and distribute monthly fabrication projection reports to provide visibility into shop capacity and demand
  • Partner with Shop Leads to support weekly timesheet administration through E-Time
  • Assist with operational initiatives and continuous improvement efforts, including digital workflow enhancements

FID Facility & Visitor Experience

  • Act as the site ambassador for all visitors, delivering a professional and welcoming experience
  • Coordinate logistics for meetings, Town Halls, and team-building events, including vendor coordination and room setup
  • Support facility operations in partnership with the Facility Manager, including vendor services (janitorial, repairs, etc.) and supply management
  • Promote and uphold a strong safety culture during daily operations and site visits

What You Bring

  • Bachelor’s degree or equivalent experience in a related field
  • 5+ years of experience in operations or administrative support (construction industry experience preferred)
  • Strong proficiency in Microsoft Office (Excel, Outlook, Teams)
  • Proactive, self-directed approach with the ability to anticipate needs and take initiative
  • Excellent communication and customer service skills
  • Strong attention to detail and organizational skills
  • Ability to problem-solve and adapt in a fast-paced, evolving environment

Work Environment & Physical Requirements

  • Ability to move throughout office, warehouse, and fabrication environments
  • Comfortable standing and walking for extended periods during tours and events
  • Ability to lift and carry materials up to 25 pounds
  • Capable of handling routine physical tasks such as setting up meeting spaces and restocking supplies
  • Comfortable working in a mixed office and industrial setting, including exposure to noise and varying temperatures
