The Coordinator, Entertainment Experience - Programming & Operations at Carnival Cruise Line supports the successful execution of entertainment programs and operational initiatives across the fleet. This role provides administrative, logistical, and operational support to the Supervisor of Programming & Operations to help ensure entertainment experiences are delivered efficiently and consistently.
The Coordinator assists with inventory management, shipment tracking, purchasing coordination, invoice processing, reporting, vendor communication, and operational documentation related to entertainment programming and special events. The role also supports cross-functional collaboration with shipboard and shoreside teams to help maintain quality standards and operational readiness across entertainment offerings.
The ideal candidate is highly organized, detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment while maintaining strong communication and customer service skills.
Essential Functions:
Program, Operations & Innovation
  • Daily Operations: Support fleet-wide entertainment operations to help ensure consistency, operational efficiency, and successful execution of onboard events and activities.
  • Inventory Management: Coordinate inventory tracking and ordering for holidays, themed events, and entertainment programming.
  • Quality Assurance: Assist with maintaining quality standards for entertainment-related supplies, collateral, and equipment..
  • Logistics: Monitor quality control for all supplies needed under entertainment operations to meet guest experience expectations. Lead and support holiday decoration logistics, including shipment, delivery, and scheduling vendor.
  • Shipment Tracking: Assist with shipment logistics, tracking delivery, and communicating with the Carnival warehouse and logistics managers for all entertainment experience related activities, events and holidays.
  • Administrative Support: Provide operational support to the Entertainment Experience team, which may include placing requisitions in iProcurement and collecting data from TGEM. Assist with travel arrangements, training, and onboarding tasks for shipboard Entertainment team members.
  • Special Projects: Assist with planning and logistics for departmental meetings, conferences, town halls, and special projects.

Financial Accountability:
  • Budget Monitoring: Support budget tracking by monitoring expenses and maintaining accurate records.
  • Cost Optimization: Partner with Sourcing, Procurement, and Purchasing teams to optimize cost savings and ensure high-quality service. Identify and mitigate supply chain risks to maintain operational continuity and financial efficiency.
  • Vendor Setup: Facilitate the setup of new vendors by collecting and verifying all required documentation, including completed GSM Supplier Information forms, sample invoices with preprinted banking information.
  • Invoice Processing: Coordinate invoice coding, categorizing, and aligning of purchases to various account strings. Input and code invoices for processing, ensuring accuracy in financial transactions. Monitor payment statuses and follow up with the Accounts Payable department to resolve any issues in a timely manner.
  • Travel and Expense: Responsible for managing their own travel arrangements and expenses in accordance with Carnival Cruise Line's travel policies and procedures. This includes submitting expense reports in a timely manner. The Team Member will ensure that all travel arrangements are cost-effective and compliant.

Scope:
  • This role supports fleet-wide entertainment programming and operational initiatives across Carnival Cruise Line ships. The Coordinator works closely with shipboard Entertainment teams and multiple shoreside departments to assist with operational logistics, inventory coordination, purchasing support, reporting, and vendor communication. The role contributes to the consistency and successful execution of entertainment experiences by helping ensure supplies, equipment, and operational processes are properly coordinated and maintained.
  • The position operates within a fast-paced environment that requires strong organization, attention to detail, and the ability to manage multiple priorities simultaneously while supporting both routine operations and special projects.

Problem solving:
  • The role requires the ability to identify and resolve routine operational and administrative issues related to inventory, logistics, purchasing, shipment tracking, and vendor coordination. The Coordinator is expected to gather information, analyse operational data, and communicate effectively with stakeholders to support timely resolution of issues.
  • The position regularly manages competing priorities and changing operational needs while ensuring accuracy and adherence to established processes and timelines. Escalation of more complex operational or financial issues is made to leadership as appropriate.

The Coordinator is expected to build effective working relationships with shipboard leaders, vendors, and cross-functional partners while demonstrating professionalism, accountability, and teamwork.

Qualifications:
  • High School Diploma or GED
  • Associate's degree - Entertainment, Recreation, Tourism, Hospitality and/or Business preferred
  • Strong organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office 365 applications, including Excel, Word, and PowerPoint.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively across teams.
  • Experience with purchasing systems, databases, or inventory tracking systems preferred.
  • Flexible and able to adjust to changing circumstances and handle unexpected challenges.
  • 1-3 years of experience in entertainment operations, hospitality, administrative coordination, logistics, events, or a related field preferred.
  • Experience supporting cross-functional projects or operational processes preferred.
  • Previous cruise, hospitality, live entertainment, or event coordination experience preferred.

This position is classified as "in-office." As an in-office role, it requires employees to work from a designated Carnival office in South Florida Monday through Thursday each week. Employees may work from their homes on Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
