Project Overview:

Bechtel is the licensing, engineering, procurement, and construction partner on TerraPower’s Natrium team. Selected by the U.S. Department of Energy (DOE) for its Advanced Reactor Demonstration Program, Natrium is participating in a DOE initiative to re-establish U.S. leadership in nuclear energy that provides matching funding to industry to design and build an operational advanced reactor. TerraPower, a leading advanced generation technology company founded by former Microsoft CEO Bill Gates, will be deploying its 345 MWe sodium fast reactor (SFR), called Natrium. The Natrium plant features an advanced, cost-competitive reactor design that is safer, simpler, easier and less costly to construct, less expensive to operate, and able to provide energy that is competitive with fossil fuels. It also features an innovative molten salt energy storage system designed to be complementary to solar and wind power by evening out the peaks and valleys in production when the sun is not shining, or the wind is not blowing. With the reactor and energy storage output combined, the plant can produce more than 500 MWe of power. Other Team Natrium partners include GE Hitachi Nuclear Energy, Energy Northwest, PacifiCorp, and Duke Energy, along with support from a number of national laboratories and universities. This DOE Program has the potential to be the largest funding program for advanced nuclear power in U.S. history and will shape the future of nuclear energy for decades. Job Summary:

The Project/Site Administrative Assistant provides administrative and operational support to project leadership and multiple project functions, including Environmental, Safety & Health (ES&H). This role coordinates communications, meetings, records, reports, onboarding support, and routine site administration while helping maintain organized, accurate, and compliant project operations.

Major Responsibilities:

Administrative Support

  • Provide administrative support to project managers, supervisors, functional leads, ES&H personnel, and project teams as assigned.
  • Prepare correspondence, reports, presentations, meeting materials, briefing packages, charts, graphs, and other project documentation.
  • Manage calendars, schedule meetings, reserve rooms, coordinate logistics, and organize materials for meetings, orientations, and training sessions.
  • Maintain distribution lists, project rosters, contact databases, organization charts, staffing reports, and functional team lists.
  • Coordinate office supplies, equipment, seating, office moves, workspace assignments, visitor logistics, and site administrative requests.
  • Support site communications, all-hands announcements, project notices, and routine updates while handling sensitive information with discretion.

Environmental, Safety & Health (ES&H) Administrative Support

  • Assist ES&H personnel with compiling, formatting, and distributing statistical, performance, compliance, and management reports.
  • Prepare data, charts, graphs, dashboards, workload forecasts, and other materials using information from technical and non-technical sources.
  • Support preparation and distribution of ES&H policies, procedures, specifications, alerts, bulletins, toolbox messages, lessons learned, and other communications.
  • Organize materials for ES&H meetings, orientations, training sessions, program reviews, and presentations. May operate a variety of audiovisual equipment.
  • Track ES&H follow-up actions and assist with maintaining routine and confidential ES&H records, filing systems, databases, trackers, webpages, and information systems.
  • Review ES&H deliverables for formatting, completeness, quality, and conformance with established standards and procedures.

Records & Document Management

  • Maintain project files, functional records, and administrative documentation in accordance with project procedures.
  • Assist with document control, records retention, filing requirements, and retrieval of routine and confidential documents.
  • Support audits, reviews, assessments, inspections, and compliance activities by locating records, preparing materials, and tracking follow-up actions.
  • Review documents and deliverables for quality, consistency, formatting, and conformance with established project standards.
Education and Experience Requirements:
  • High school diploma or equivalent.
  • 2+ years of administrative, project support, functional support, or office coordination experience.
  • This role requires a facility-specific clearance that requires U.S. Citizenship to obtain.
  • Must be able to complete and pass a pre-employment drug screen and background check which includes verification of employment and education.
  • Must be able to obtain and maintain site badge for access.
Required Knowledge and Skills:
  • Proficiency with Microsoft Office applications including Outlook, Excel, Word, PowerPoint, and Teams.  A skills assessment may be administered to determine proficiency.
  • Strong written and verbal communication, organization, interpersonal, and customer service skills.  A spelling/grammar skills assessment may be administered to determine proficiency.
  • Excellent organization/time management, problem solving, and interpersonal skills. 
  • Ability to prioritize multiple assignments, meet deadlines, follow up on open actions, and maintain confidentiality.
  • Ability to compile information from multiple sources and prepare accurate reports, trackers, and presentation materials.
  • Experience supporting engineering, construction, industrial, energy, or large capital projects.
  • Experience supporting ES&H, quality, project controls, document control, or other project functions.
  • Experience with document management systems, records management, databases, reporting systems, project controls tools, or advanced Excel/PowerPoint reporting.
  • Prior experience working in an engineering, procurement, and construction environment. 
  • Prior experience working in a government contracts environment.
  • Prior experience with Bechtel’s Aconex software, a plus.
