We are seeking a highly organized and customer-focused Dispatch Coordinator to join our dynamic heating, cooling, and plumbing team. This role is essential in ensuring that our field technicians are routed efficiently, customers are informed and supported, and all service operations run smoothly throughout the day.

Position Overview Hours

  • Full-Time / In-Office
    • 11:30 - 8pm
  • Monday - Friday
  • Occasional Weekends & Evenings
  • On-Call Support as needed
  • Weekends and Evenings can qualify for remote work


Position Requirements

  • Must be comfortable working with scheduling/dispatch software and CRM systems
  • Must be able to keep up and thrive in a fast-paced office environment
  • Previous experience in dispatch, scheduling, or logistics (HVAC/plumbing industry preferred)
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and problem-solving mindset
  • Proficient with computers and the following programs: Service Titan, Microsoft Office, and general office technology
  • Ability to remain calm and efficient in high-pressure situations
  • Strong customer service and interpersonal skills

Position Responsibilities

  • Routing & Logistics: Dispatch technicians based on location, skills, and availability for efficient scheduling.
  • Customer Updates: Reschedule as needed and provide real-time ETAs.
  • Service: Handle calls and emails with professionalism and empathy.
  • Coordination: Manage daily emails and admin tasks promptly.
  • Parts & POs: Arrange part deliveries and manage purchase orders.
  • Work Orders: Create and close out work orders with accurate documentation.
  • Phone Support: Assist with calls during peak times.
  • Team Planning: Coordinate with our CSR team to plan daily call volumes.
