Contract Manager (Sales Operations / Fuel Supply)

Location: Aston, PA

Position Summary

Diesel Direct is seeking a highly organized and customer-focused Contract Manager to support our Northeast fuel supply portfolio. This role is critical to ensuring seamless contract execution, accurate volume tracking, and best-in-class service to municipal, government, and commercial customers.

The Contract Manager acts as a central liaison between customers, suppliers, common carriers, and internal teams (Sales, Dispatch, A/P, A/R), ensuring operational excellence across fuel supply logistics, contract compliance, and account management.

Key Responsibilities

• Manage and reconcile contract volumes, fixed volume commitments, and audit logs to ensure accuracy and compliance

• Maintain and analyze inventory levels and carrier activity to support uninterrupted fuel supply

• Oversee customer account setup and maintenance, including pricing structures, tax forms, POs, COIs, and site/tank onboarding

• Serve as a primary point of contact for customers, resolving billing, delivery, and service issues in a timely manner

• Act as liaison between customers and carriers, supporting delivery coordination, issue resolution, and invoice processing

• Prepare and maintain weekly and ad hoc reporting, including pricing analysis and customer-specific reports

• Support bid preparation and contract administration for government, municipal, and commercial accounts

• Manage MBE/WBE reporting requirements and ensure compliance with contractual obligations

• Maintain access and credentials for supplier/customer portals and bid systems

• Perform data entry, audit, and system updates to ensure integrity of operational and financial records

• Provide cross-functional support to Sales, Dispatch, Finance, and leadership as needed

Qualifications

• 5 years of experience in contract administration, sales operations, logistics, or fuel/energy industry preferred

• Strong analytical skills with experience in data reconciliation, reporting, and pricing support

• Proven ability to manage multiple accounts and priorities in a fast-paced environment

• Excellent communication and problem-solving skills with a customer-first mindset

• Proficiency in Microsoft Excel and systems used for order management, billing, and reporting

• Experience working with government or municipal contracts is a strong plus
