JOB SUMMARY

Reporting to the Director of Systems Administration, the IT Asset Manager is responsible for the lifecycle management of IT hardware, software, and licensing assets across PACS' corporate offices and network of skilled nursing facilities. This role builds and maintains the organization's IT Asset Management (ITAM) program, including procurement intake, inventory and CMDB accuracy, device standardization, deployment and retrieval workflows, and disposal/decommissioning, to ensure assets are tracked, secured, compliant, and cost-effectively managed throughout their lifecycle. The role works closely with IT Security and Governance to ensure asset practices support HIPAA/HITECH compliance, audit readiness, and enterprise risk management.

CORE RESPONSIBILITIES

  • Own and continuously develop the organization's IT Asset Management program, policies, and standard operating procedures.

  • Maintain an accurate, centralized inventory of IT hardware, software licenses, and cloud/SaaS subscriptions across all facilities and corporate locations.

  • Manage the full asset lifecycle: procurement intake, receiving, tagging, deployment, transfers, maintenance, retrieval, and secure disposal/decommissioning.

  • Lead device standardization initiatives, including defining approved hardware catalogs and coordinating refresh cycles across skilled nursing facilities.

  • Design and maintain device retrieval workflows for employee separations, facility closures/openings, and equipment refresh projects.

  • Reconcile asset records against procurement, finance, and configuration management (CMDB) data to ensure accuracy and eliminate discrepancies.

  • Track software license entitlements and usage to support compliance and identify cost-optimization opportunities.

  • Partner with IT Security and Governance on audit readiness, providing asset data to support HIPAA/HITECH, NIST CSF, and CIS Controls compliance efforts.

  • Coordinate with vendors on procurement, warranty/repair, leasing, and end-of-life equipment disposition, including certified data destruction.

  • Support the Service Desk and field dispatch teams with asset data needed for troubleshooting, replacements, and deployments.

  • Produce regular reporting and dashboards on asset inventory, lifecycle status, spend, and compliance metrics for IT leadership.

  • Identify and help implement ITAM tooling to automate discovery, tracking, and lifecycle workflows as the program matures.

QUALIFICATIONS

Required

  • Bachelor's degree in Information Technology, Business Administration, or related field, or equivalent professional experience.

  • 3+ years of experience in IT asset management, IT operations, or a related infrastructure/service delivery role.

  • Working knowledge of IT asset lifecycle management practices and CMDB/ITAM tooling concepts.

  • Strong organizational skills with high attention to detail and data accuracy.

  • Experience working with Microsoft 365 / Azure environments and enterprise device management tools (e.g., Intune).

  • Ability to manage multiple facility locations and coordinate logistics across a distributed organization.

  • Strong written and verbal communication skills, including the ability to document processes and train staff.

Preferred

  • Experience in a healthcare or skilled nursing/long-term care environment.

  • Familiarity with HIPAA/HITECH requirements as they relate to device and data handling.

  • Experience with ITAM or ITSM platforms (e.g., ServiceNow, Freshservice, or similar).

  • Certification such as CHAMP (Certified Hardware Asset Management Professional), CSAM (Certified Software Asset Manager), or ITIL Foundation.

  • Experience supporting vendor risk management or IT procurement processes.
