Job description

THE OPPORTUNITY

GBC is seeking an Operations Manager to own daily office operations and steering committee scheduling and support during an exciting period of organizational growth and change. This role is ideal for someone who enjoys delivering exceptional service and precise execution, makes sure nothing slips through the cracks, and is comfortable owning responsibilities and stepping in where needed without being told.

The Manager will ensure GBC's office runs smoothly day to day — from front-of-house and supply management to internal meeting and conference room readiness. The Manager will also own scheduling and logistics support for GBC's 16 steering committees, which are the primary vehicle for advancing GBC's Multi-Year Agenda on behalf of the region.

This role is part of a small, tight-knit Operations team — alongside the Executive Assistant, Events Manager, and Senior Manager of Operations — that works as a unit. Each person on the team has a defined area of ownership, but all are expected to flex and step in for one another when needed to keep the organization running smoothly and ensure staff benefit from a consistent level of support.

KEY RESPONSIBILITIES

Office Operations

  • Serve as the first point of contact for GBC's office: greet visitors, answer and route phone calls, and manage incoming and outgoing mail
  • Maintain a stocked, professional, and welcoming office environment — supplies, copiers, snacks, and coffee for staff and guests
  • Manage supply ordering and vendor coordination for repairs, cleaning, security, laundry, printers, and name badges
  • Own setup and readiness for meetings in conference rooms hosted at GBC's office; coordinate closely with the Events Manager on any overlap or major events hosted on-site
  • Build, own, document, and continuously improve operational processes that create consistency and reduce dependencies on individual staff knowledge
  • Leverage technology tools and support quality data capture in GBC's core systems (Salesforce, SharePoint, Monday.com), supporting GBC's technology transformation roadmap
  • Create, manage, and continuously improve routine administrative workflows with accuracy and timeliness
  • Serve as a third-level backup to the Executive Assistant to the CEO and COO and provide targeted administrative support for external meeting scheduling for Strategy, Business Investment, and UpSurge team leaders.
  • Other duties as assigned, including credit card reconciliation, email correspondence, and general administrative support

Steering Committee Scheduling & Support

  • Own scheduling and calendar logistics for all 16 GBC steering committees and related partner events, coordinating across Strategy, Business Investment, UpSurge, Partnerships, and Communications teams
  • Manage the GBC organizational calendar in collaboration with the Senior Manager of Operations — coordinating across teams, avoiding conflicts, and maintaining accuracy
  • Coordinate cross-functionally to support preparation, logistics, and follow-through for steering committee meetings
  • Manage data entry and recordkeeping to support steering committee tracking and reporting

Requirements

PROFESSIONAL EXPERIENCE/QUALIFICATIONS

  • High school diploma or GED, at minimum, required; Bachelor's degree preferred
  • 2+ years of experience in office management, operations, coordination, or a comparable role
  • 2+ years of experience supporting scheduling and calendar management
  • Demonstrated ability to manage multiple projects and timelines simultaneously without losing accuracy
  • Strong written and verbal communication skills — able to be direct and professional in equal measure
  • Ability to represent GBC with CEO-level executives and external partners with a service mindset, professionalism, and discretion
  • Experience improving business operations and processes
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel); experience with Salesforce, SharePoint, and Monday.com is a plus
  • Comfort with, and enthusiasm for, technology — learning new tools quickly with a growth mindset for continuous improvement
  • Ability to handle sensitive information with confidentiality
  • Experience working in a dynamic, fast-paced environment

COMPENSATION

The salary range for this position is $55 - $65K, commensurate with qualifications and experience, with potential for an annual bonus based on performance.
