Job description

Position Summary: 

The Operations Manager is responsible for overseeing all facets of warehouse operations during all shifts, including receiving, put away, replenishment, inventory control, shipping, returns processing, sanitation, transportation, dock & yard management. This role ensures operational safety, efficiency, and quality standards are met while fostering a culture of teamwork and continuous improvement. Additionally, the Operations Manager collaborates closely with leadership to align operations with organizational goals and objectives and ensure all regulatory compliance in accordance with DOT, OSHA, and FDA standards. 

Responsibilities: 

General Transportation Oversight 

  • Oversee the transportation and logistics operations, including route optimization, fleet management, and driver management. 

  • Ensure compliance with DOT regulations, safety protocols, and HOS adherence. 

  • Collaborate with the warehouse team to align transportation schedules with inventory availability and order fulfillment needs. 

  • Monitor and analyze key transportation metrics, such as on-time delivery, delivery SOP adherence including scanning, delivery photos, OS&D reporting, signed & confirmed invoices and returns processing. 

  • Evaluate and report on key financial indicators such as cost per mile, maintenance and repair costs and fleet utilization. 

  • Identify underperforming metrics and develop robust action plans to quickly resolve operational constraints, coordinate cross-functional assistance, and implement continuous improvement solutions. 

  • Coordinate regular Business Review meetings with leadership to ensure strategic alignment and operational accountability. 

  • Ensure staffing levels are sufficient and maintained to support the needs of the business, including 6 days/24 hours coverage for both supervisors and drivers. 

General Warehouse Oversight 

  • Manage inbound and outbound logistics, inventory control, order fulfillment, and warehouse layout optimization. 

  • Implement and maintain compliance with SOPs, HACCP standards, and OSHA safety regulations. 

  • Oversee and ensure efficient operation of systems like S2K, BFC Dakota, and SelectPrime for real-time inventory and logistics management. 

  • Collaborate with the executive team to align warehouse operations with strategic organizational goals. 

  • Establish baseline production and quality metrics, and ongoing reporting, including regular Business Reviews to ensure alignment with the organizational goals and accountability. 

  • Coordinate cross-shift & cross functional meetings to ensure optimal warehouse setup and support. 

Shift Operations Management 

  • Monitor safety protocols, including equipment use, safety vests, horns, and right-of-way adherence. 

  • Drive productivity and quality through communication, coaching, and enforcement of best practices. 

  • Facilitate training sessions to reinforce SOPs and operational excellence. 

  • Oversee accident and damage reporting, ensuring accountability and follow-up action. 

Leadership and Team Management 

  • Supervise warehouse management, porters, pickers, replenishment staff, shipping & receiving teams, and transportation staff across all shifts. 

  • Conduct regular team evaluations and create individualized development plans. 

  • Lead training sessions on technology, safety, and operational procedures. 

  • Foster a culture of accountability, collaboration, and continuous improvement. 

Performance Metrics/Key Performance Indicators: 

Operational Efficiency 

  • Maintain on-time completion of receiving and putaway tasks for 98% of inbound shipments. 

  • Ensure 100% compliance with inventory control procedures, including cycle counts and stock rotation. Full Cycle counts Quarterly. 

  • Achieve a replenishment accuracy rate of 99% or higher. 

  • 100% Priority Replenishments. Achieve < 25 Flags per night 

Productivity and Quality 

  • Increase day shipping accuracy to 100%. 

  • Reduce returns processing errors by 10% annually. 

  • Establish Baseline measures for putaway & replenishment transaction levels 

  • Improve overall warehouse productivity year-over-year 

Safety and Compliance 

  • Zero critical safety violations and reduce workplace incidents by 15% annually. 

  • SWDs, freq (hrs), cost. 

  • Ensure 100% compliance with sanitation and cleanliness standards. 

  • Conduct weekly safety audits and implement corrective actions within 48 hours. 

Team Development 

  • Conduct quarterly training sessions for all warehouse staff. 

  • Improve employee engagement scores by 10% annually. 

  • Reduce employee turnover by 15% through effective coaching and leadership 

Qualifications: 

  • Bachelor's degree in business management, logistics, supply chain or equivalent work experience 

  • 8+ years previous management experience, preferably in a fast-paced warehouse or distribution center environment 

  • Excellent interpersonal skills, oral and written communication skills, and strong attention to detail 

  • Proficient in MS Suite and other software programs 

  • Analytical, and problem-solving skills 

  • Provide Supervisors and staff with meaningful developmental opportunities through effective coaching and feedback. 

  • Promote positive team morale through effective communication and recognition.
