Warehouse Administrative Assistant Responsibilities
The Warehouse Administrative Assistant helps facilitate the efficient operation of the warehouse department by performing a variety of administrative, inventory, shipping, receiving, billing, customer service, and clerical duties.
Key responsibilities include:
  • Completing inventory transactions for shipping and receiving
  • Entering and maintaining accurate warehouse and inventory records
  • Checking inventory records to determine product availability
  • Preparing and maintaining shipping and receiving documentation
  • Preparing work orders, bills of lading, shipping orders, invoices, and other business documents
  • Examining shipment contents and comparing them with manifests, invoices, and orders for accuracy
  • Recording shipment information including weights, charges, damages, shortages, and discrepancies
  • Organizing paperwork required for customer billing
  • Completing basic bookkeeping and billing transactions
  • Computing shipping, storage, space availability, and demurrage charges using spreadsheet formulas
  • Preparing reports for customers and management
  • Maintaining spreadsheets, databases, inventory systems, and electronic records
  • Filing copies of orders and maintaining warehouse documentation
  • Answering incoming telephone calls, directing calls, and taking messages
  • Monitoring and responding to incoming emails in a timely manner
  • Communicating with customers, carriers, employees, and other departments
  • Contacting carrier representatives to coordinate shipping and delivery arrangements
  • Communicating scheduling changes to appropriate employees
  • Providing customers with order information, shipping dates, and anticipated delays
  • Receiving and responding to customer questions and complaints
  • Investigating damages, shortages, discrepancies, and nonconformance issues
  • Verifying customer and order information for accuracy
  • Inventorying and ordering materials, supplies, and services
  • Notifying appropriate departments when inventory or supplies are running low
  • Processing incoming and outgoing mail and correspondence
  • Operating office equipment including computers, scanners, printers, multiline telephone systems, and 10-key calculators
  • Typing, formatting, proofreading, and editing correspondence and business documents
  • Training staff on computer applications and administrative work activities when necessary
  • Troubleshooting basic office equipment, computer hardware, and software issues
  • Assisting with warehouse materials and paperwork as needed
  • Performing other administrative and warehouse support duties as assigned

Qualifications
Preferred qualifications include:
  • High school diploma or GED preferred
  • 2 years of experience in a similar administrative, warehouse office, shipping and receiving, inventory, or logistics role preferred
  • Strong computer and data entry skills
  • Experience with spreadsheet software
  • Experience with email and electronic communication
  • Strong reading comprehension
  • Strong attention to detail and accuracy
  • Basic math skills
  • Strong organizational and administrative abilities
  • Ability to communicate professionally with customers, carriers, employees, and management

Previous experience in warehousing, transportation, logistics, shipping and receiving, inventory management, or customer service is helpful.
Forklift operation is not required for this position.
Work Environment & Physical Requirements
This position is primarily located in a climate-controlled warehouse office with approximately two coworkers on average.
Physical demands are generally minimal.
  • Maximum lifting requirement: approximately 20 pounds
  • Typical lifting requirement: approximately 10 pounds
  • Regular computer and keyboard use
  • Occasional repetitive movements associated with office equipment
