About the role:

The Bid Manager plays a strategic role at Triotech by leading the preparation, coordination, and production of commercial proposals and responses to Requests for Proposals (RFPs). This individual is responsible for transforming customer requirements, technical information, and cross-functional input into compelling, high-quality proposal documents that reflect Triotech's standards of excellence and maximize our chances of winning new business.

Acting as the central coordinator throughout the proposal process, the Bid Manager ensures that all contributors remain aligned, deadlines are met, and every proposal presents a consistent, professional, and persuasive representation of the company.


Key Responsibilities:

Preparation of proposals:

  • Plan, coordinate, and produce commercial proposals, RFP responses, client presentations, and other strategic sales documents.
  • Create professional proposal documents that meet Triotech's highest quality standards.
  • Ensure all materials are visually polished and consistent with the company's brand identity.
  • Produce clear, engaging, well-structured, and persuasive documents.
  • Write, adapt, and enhance content to ensure it is complete, accurate, technically sound, and focused on customer benefits.
  • Tailor messaging based on the client, market, and project.
  • Ensure consistency across technical, commercial, and marketing content while clearly communicating Triotech's value proposition.
  • Write transition text and other supporting content to ensure presentations flow logically and cohesively.

Cross-Functional Coordination

  • Serve as the primary coordinator between Sales, Marketing, Creative, Engineering, Operations, and other stakeholders.
  • Identify the information required for each proposal.
  • Follow up with contributors to ensure timely delivery of content.
  • Ensure all deliverables are received within established deadlines.

Winning Proposal Strategy

  • Analyze customer requirements, meeting notes, RFP documents, and available technical information.
  • Organize and transform information into customized, coherent, and highly persuasive proposals.
  • Highlight Triotech's competitive advantages and the unique value of our solutions.
  • Design compelling sales presentations using PowerPoint, Canva, or other company-approved tools.
  • Integrate written content, visuals, renderings, diagrams, marketing materials, and technical information into cohesive presentations.
  • Ensure high graphic quality, readability, and visual impact across all deliverables.
  • Coordinate review and approval cycles with sales representatives, technical experts, the creative department, leadership, and other stakeholders.
  • Incorporate feedback and perform quality control on final proposal versions.
  • Ensure deadlines are met and final documents are accurate, polished, and error-free.


Qualifications

  • 3 to 5 years of experience in bid management, proposal management, business development, or sales.
  • Fluency in both English and French is required, as more than 90% of our clients are English-speaking.
  • Excellent project management skills with the ability to coordinate multiple projects simultaneously.
  • Strong writing, communication, and presentation skills.
  • Excellent analytical, organizational, and problem-solving abilities with exceptional attention to detail.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Collaborative mindset, customer-focused approach, and commitment to delivering high-quality work.
  • Proficiency with Microsoft Office (especially PowerPoint), Canva or similar design tools, and CRM software (HubSpot is considered an asset).
