Listing Coordinator and Transaction Coordinator (Overflow Support)

Sarasota Gulf Coast Homes, REALTORS Keller Williams

Sarasota Gulf Coast Homes is seeking an organized, detail-oriented, and proactive Listing Coordinator to support our growing real estate team. This position will primarily focus on listing coordination from listing agreement to active status, while also providing transaction coordination support during periods of increased contract volume.

The ideal candidate has prior real estate administrative experience, thrives in a fast-paced environment, possesses exceptional attention to detail, and is committed to delivering an outstanding client experience. A Florida Real Estate License is preferred but not required. Candidates must be local to the Sarasota/Manatee County area.

Compensation: Compensation will be based on experience and qualifications.

Responsibilities:

Listing Coordination

  • Prepare listing documents, disclosures, and MLS paperwork after listing agreements are signed.

  • Review listing agreements and ensure all required documents are complete and properly executed.

  • Collect and review HOA, Condo, Lead-Based Paint, CDD, MLS Multiple Options form, and other required disclosures.

  • Enter and maintain accurate listing information in the MLS.

  • Coordinate listing timelines, open houses, Signs ( From Inventory), and lockboxes.

  • Ensure listing files are complete and compliant with brokerage and MLS requirements.

  • Customer Service - Seller side.

Transaction Coordination Support

  • Assist with transactions from executed contracts through closing as needed.

  • Track contract deadlines, contingency periods, inspections, and closing dates.

  • Collect repair receipts and required transaction documentation.

  • Schedule final walkthroughs and assist with closing coordination.

  • Maintain accurate records within the CRM and transaction management systems.

  • Verify all documents contain proper signatures, initials, and dates for compliance.

Administrative Support

  • Maintain accurate records in CRM and brokerage systems.

  • Coordinate sign and lockbox installation and removal when needed.


Qualifications:
  • Previous Listing Coordinator, Transaction Coordinator, Real Estate Assistant, Title, Mortgage, or related real estate experience required.

  • Florida Real Estate License preferred; an active license is a plus.

  • Strong organizational skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple deadlines and priorities simultaneously.

  • Customer-service-oriented with a professional and positive attitude.

  • Proficiency with MLS systems, Dotloop, CRM platforms, and Microsoft Office/Google Workspace preferred.

  • Must be local to Sarasota or Manatee County.
