Job description

Overview
The Executive Assistant serves as a trusted partner to executive leadership, providing high-level administrative support while helping drive key projects, meetings, and business priorities forward. This role manages complex calendars, travel, communications, and day-to-day coordination, while also supporting board and leadership meeting preparation, presentations, reporting, and cross-functional initiatives.
The ideal candidate is an experienced and highly organized Executive Assistant who is comfortable operating in a fast-paced environment, managing competing priorities, and following through on action items with limited oversight. This person will also contribute to office and culture initiatives and use technology-including Microsoft PowerPoint, Google Workspace, and AI tools-to improve efficiency and elevate executive support.
Responsibilities
  • Manages and maintains executives' schedules, travel arrangements, and leadership meeting cadences while supporting shifting business priorities.
  • Prepares reports, presentations, correspondence, budgets, and other business documents utilizing Microsoft 365 and Google Workspace applications.
  • Serves as a liaison between executives, internal departments, external partners, and key stakeholders to facilitate effective communication and coordination.
  • Supports operational and administrative processes including expense management, PTO tracking, invoice processing, PO management, and HRIS-related support.
  • Coordinates executive meetings, leadership events, team functions, and other organizational activities including scheduling, logistics, vendor coordination, and meeting materials.
  • Maintains organizational charts, departmental distribution lists, reporting documentation, and other operational records.
  • Supports onboarding activities, recurring business cadences, leadership initiatives, and cross-functional projects as assigned.
  • Handles confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Assists in the development and coordination of administrative procedures and operational processes to support organizational effectiveness.
  • Performs additional duties and special projects as requested by the Executive Team.

Qualifications
  • Bachelor's degree preferred
  • High School Diploma required
  • At least 5 years' experience supporting executive management, preferably in a C Suite environment
  • Demonstrated ability to handle confidential information appropriately.
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines.
  • Excellent verbal and written communication skills
  • Excellent internal and external customer service skills
  • Excellent Microsoft Office application experience
  • Professional appearance and demeanor
  • Strong customer service skills
  • Ability and availability to work extended hours including nights, weekends as needed by the Executive.
