JOB FUNCTION:

The Loan Operations Specialist II performs a broader range of loan servicing and operational activities with moderate independence and accountability. This role builds on the foundational responsibilities of the Loan Operations Specialist I by handling additional loan operations functions, including flood review, UCC monitoring, document preparation, paid in full/lien release activities, adverse action support, loan booking and routine research or inquiry resolution. The position requires a working understanding of loan policy, established procedures, and departmental workflows to ensure loan records are accurate, complete, compliant, and processed timely. The Loan Operations Specialist II serves as a more experienced operational resource for routine questions and supports process consistency, quality control, and service delivery across the Loan Operations function.

DUTIES & RESPONSIBILITIES:

  • Perform loan maintenance activities in accordance with established procedures, approval requirements, and loan policy expectations.
  • Review, monitor, and clear assigned loan exceptions, including follow-up on missing, incomplete, or inaccurate information.
  • Track loan documentation and collateral items, communicate status updates, and take appropriate action to support timely completion.
  • Perform flood review support activities, including reviewing required documentation, monitoring applicable tracking items, and escalating issues when needed.
  • Monitor insurance requirements and update loan systems or tracking tools to reflect current coverage information.
  • Monitor UCC-related items and assist with tracking, continuation, update, or follow-up activities in accordance with departmental procedures.
  • Prepare or assist with preparation of routine loan documents using approved templates, systems, and instructions.
  • Support funding activities and ensure required information is complete before processing or escalating.
  • Perform non-complex loan booking activities and assist with more detailed booking review items as assigned.
  • Support paid in full and lien release activities by reviewing loan status, documentation requirements, and release tracking items.
  • Assist with adverse action support activities in accordance with established procedures and regulatory timelines.
  • Research and respond to routine loan operations inquiries, resolving issues within assigned authority or escalating when appropriate.
  • Communicate clearly with internal business partners regarding documentation, exceptions, booking status, research items, and servicing matters.
  • Identify trends, recurring issues, or process gaps and share observations with the manager or senior team members.
  • Support basic process management by following workflows, checklists, controls, and quality standards consistently.
  • Provide informal guidance to less experienced team members on routine procedures, as appropriate.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

Work Experience

  • Minimum of two years of directly related loan operations, loan servicing, banking operations, document processing, or comparable financial services experience required, with or without a related degree.

Preferred Experience

  • Experience using loan servicing systems, document tracking systems, imaging/workflow tools, core banking systems, or similar financial operations platforms preferred.

Supervisory Experience

  • None required. This role may provide informal guidance or procedural assistance to less experienced team members but does not supervise employees.

Education/Skills

  • High school diploma or equivalent required; related degree or coursework in business, finance, accounting, banking, or a similar field preferred. Must demonstrate moderate organizational independence, communication skills, analytical thinking, and ability to apply loan policy guidance to routine operational decisions. Basic people development capability preferred, including willingness to share knowledge, assist peers, and support team learning. Basic process management capability preferred, including ability to follow procedures, identify recurring issues, and support workflow consistency.

Competency Requirements

  • Working knowledge of loan operations procedures, loan documentation, collateral tracking, insurance monitoring, UCC monitoring, flood review, booking, lien release, and adverse action support activities.
  • Moderate organizational and independence skills, with ability to prioritize assigned work, manage follow-up items, and complete tasks with limited supervision.
  • Clear and professional written and verbal communication skills when working with internal business partners and resolving routine inquiries.
  • Moderate analytical and problem-solving ability to identify discrepancies, assess routine issues, research information, and determine when escalation is needed.
